Our clients is seeking an experienced and detail-oriented Office Manager/Executive Assistant to join our growing team. This role combines administrative excellence with operational oversight, supporting our leadership team and ensuring smooth day-to-day business operations. The ideal candidate will be organized, proactive, and skilled at managing multiple priorities in a fast-paced environment.
Key Responsibilities- Provide comprehensive executive and administrative support to leadership, including scheduling, correspondence, and meeting coordination
- Manage office operations, including vendor relationships, supplies, equipment maintenance, and facility management
- Handle accounts payable/receivable, invoicing, and financial record-keeping
- Coordinate project scheduling, permits, and documentation as needed
- Maintain organized filing systems (both digital and physical) and ensure document accuracy
- Manage phone, email, and client inquiries with professionalism and efficiency
- Oversee office technology and troubleshoot basic IT issues
- Prepare reports, presentations, and business correspondence
- Coordinate company events, meetings, and travel arrangements
- Support HR functions including onboarding, employee records, and benefits administration
- Perform additional duties as needed to support business operations
- 3+ years of administrative, office management, or executive assistant experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational and time management skills with ability to manage multiple priorities
- Excellent written and verbal communication skills
- Professional demeanor and ability to interact professionally with clients and staff
- High attention to detail and accuracy
- Ability to work independently and as part of a team
- Reliable transportation and valid driver's license
- Experience in the construction, painting, or trades industry
- Familiarity with accounting software or bookkeeping
- Experience with project management tools or CRM systems
- Knowledge of Quick Books or similar accounting platforms
- Experience managing customer relationships and client communications
- Bilingual capabilities (English/Spanish)
- Competitive salary: $65,000 – $75,000 (based on experience)
