What we need
We are looking for an Executive Assistant / Receptionist to support a successful and rapidly growing business with trusted brands. Overall purpose of the role:
As the personal assistant to the CEO, reporting to the Director of HR, you will be responsible to work closely with the CEO and to provide administrative support, on a one-to-one basis. You will often act as the CEO’s first point of contact with people from both inside and outside the organization, covering also Receptionist duties providing clerical and front-desk support across the entire organization.
The role includes greeting visitors, taking phone calls, handling correspondence, keeping the reception area clean, ordering catering for various meetings.

- Maintaining CEO diary; arranging appointments and taking messages.
- Dealing with incoming email and post, often corresponding on behalf of the CEO.
- Arranging Chairman & CEO travel, visas and accommodation.
- Daily management of hourly employee timecards through Paychex Time and Attendance module to include administration of attendance points policy.
- Assisting with recruitment efforts including development and filing of job descriptions and posting job ads to the recruitment platform (Workable).
- Maintain documentation and process for onboarding of new hires
- Assisting in the establishment and documentation of probationary periods for new hires.
- Assisting with the creation Personal Development Plans (PDPs) for new hires.
- Manage the Performance Management Process through goal reviews with employees to support in accomplishment of goals and to gain insight as to how HR can provide support resources if needed.
- Assist in coaching of employees to maintain policy compliance throughout the business.
- Managing all phone calls, enquiries and requests and handling them courteously and prioritizing as a matter of urgency.
