Job Description
The Administrative Support Associate IV position is assigned to the Housing and Community Development Division but will also support the Business Services and Economic Development Divisions. This position will be responsible for a wide array of tasks related to office management, public engagement, and financial expenses.
Essential Duties- Serves as a primary customer service agent responsible for office walk‑ins, the main phone line, and monitoring general e‑mail inboxes.
- Oversee and maintain inventory of office supplies and promotional items.
- Develop regular supply orders to maintain inventory or address sudden need.
- Maintain an inventory of all equipment and submit maintenance requests related to both the equipment and office spaces.
- Provide logistical and physical support for all public meetings and events.
- Attend all public meetings, log attendees, and complete meeting minutes.
- Coordinate with Division leadership to reserve meeting rooms.
- Provide financial support through the tracking and entering of expenses into the Oracle system.
- Maintain all physical records within the office space and complete annual reviews for disposition.
- Complete daily administrative tasks associated with coordinating mailings, monitoring customer interaction tracker, and checking messages.
- Perform all other duties as assigned by Division leadership.
The grade for this position is B25(1). Salary will be dependent on education and experience.
Effective 4/11/2023, this position is eligible for the Employee Referral Program.
Minimum Qualifications- High School Diploma or G.E.D., AND
- Five years of administrative support or related office experience OR up to one year of specialized or technical training in administrative support or a related field; OR
- An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above will also be considered.
- Additional requirements such as management/supervisory experience, licenses, and/or certifications.
- Strong communication and interpersonal skills.
- Ability to work collaboratively with diverse stakeholders.
- Attention to detail and strong organizational skills.
