The Office Manager provides advanced administrative and office management support for Intellectual and Developmental Disabilities (IDD) Community Support Services programs, including day programs (Workshop and Day Hab), medication management, outpatient development, and related services. The role ensures efficient daily operations, compliance with agency, state, and federal regulations (e.g., DBHDD standards, HIPAA), accurate records management, and high‑quality customer service for clients, families, and stakeholders.
The IDD Office Manager reports directly to the IDD Director and serves as a key liaison within the program area.
- Oversee daily office operations at the assigned IDD location, including scheduling, client registration, authorization alerts, CONNECTS registrations, and coordination across program areas (e.g., Workshop full‑size area EXT 4678, Day Hab back‑half area EXT 2576, medication clinic Fridays).
- Manage processing, completion, and maintenance of critical documentation, including yearly forms (Consent for Treatment, Client Orientation Checklist, Individual Rights & Responsibilities, ROI/Consent to Release Information, Medication Consent, Treatment Plans, Safety/Crisis Plans, Financial Assistance Applications, Lawful Presence), ensuring proper signatures, check boxes, and compliance.
- Maintain and update databases/electronic health records (e.g., Carelogic), enter/upload data/documents (e.g., medical records, reports), track productivity, budget expenditures, resource utilization, and generate reports.
- Review and approve expenditure requests, maintain accurate accounts of services, process transactions, and serve as primary communication link with internal units, external stakeholders, and committees (e.g., Health & Safety).
- Conduct complex clerical research, prepare/assemble documentation, respond to inquiries from programs or outside sources, and provide advanced administrative support for program management and operations.
- Handle front‑desk duties, greet clients/families warmly, manage intake/orientation, and support continuity of care through proper authorization and information handling.
- Assist families and prepare forms to obtain State photo Disability IDs and Release of Jury Duty; arrange doctor signature for DDS forms and Medical Affidavits for support.
- Assist Support Coordinators with retrieving required documentation from files.
- Assist with committee participation (Health & Safety meetings, drills, inspections, resource tracking) and program‑specific tasks (medical clinic support, registration processes).
- Perform other administrative duties as assigned to support IDD day programs with special functions and other daily services, e.g., Attendance Rosters.
- Other related duties as assigned.
- Minimum:
High school diploma or GED AND at least two (2) years of experience in an entry‑level admin support role (Admin Support 3, GSS
082) or equivalent; must demonstrate the ability to lead or supervise a team. - Preferred:
Three (3) or more years of progressively responsible administrative, clerical, or office‑management experience, preferably in behavioral health, developmental disabilities, social services, or healthcare settings (or equivalent combination of education and experience). - Experience with state/agency‑specific forms (consents, treatment/safety plans), scheduling/authorizations in human services, committee involvement (e.g., safety/inspections), or working in a Community Service Board environment.
- Proficiency in computer systems (data entry, databases like Carelogic, Microsoft Office), standard office equipment, and electronic document management.
