Job Summary
The Executive Assistant to the Vice President for Student Affairs provides advanced, confidential executive-level administrative and project support to the Vice President and to the Division of Student Affairs team. The Executive Assistant oversees and coordinates the day-to-day activities of the division office and is the principal point of administrative contact and liaison with internal and external constituencies. This individual is expected to play a key role in fostering a positive work environment with an expectation of continuous improvement and first‑class customer service.
This position is also designated as Campus Security Authority (CSA) and is responsible for reporting crimes and other incidents to the Clery Act Compliance Officer for inclusion in the Annual Campus Security Report in accordance with the Federal Clery Act and GGC policy.
- Serve as a member of the leadership team and as a central source of communication to the division, campus community and external constituents.
- Provide support to the Vice President in a wide variety of areas to meet deadlines; prepare and maintain schedules, travel documents and related forms; coordinate assignments and reporting; serve as the liaison to facilitate daily operations of the division and the Vice President; maintain all records and correspondence in support of the offices; act as liaison between the Vice President and external contacts, determining when to act independently and when to refer matters for further attention.
- Monitor and follow the progress of projects, action items and strategies throughout the division; independently compose communications and documents for the Vice President.
- Manage the division budget and related transactions including purchases, supplies, check requisitions and travel and expense reimbursements; oversee reconciliation and completeness of supporting documentation; maintain a P‑Card.
- Manage the logistics and records of the Mandatory Student Fee Committee and the annual Mandatory Student Fees review process.
- Research and analyze information and assist leadership in preparing reports, presentations, publications and supporting materials.
- Secure and maintain confidential information and serve as liaison between the division and internal and external stakeholders; coordinate employment‑related actions for the division utilizing talent management, manager self‑services and performance systems; interface with division leadership and Human Resources throughout the selection process; manage support for new hires including onboarding, equipment configuration and security access.
- Manage the division’s administrative support professionals working group and division website; hire and supervise student workers.
- Plan, survey, design, execute and evaluate events and educational activities.
- Perform other duties as assigned.
- 4‑Year Bachelor’s Degree
- 5+ years relevant experience
- Experience in higher education
- Experience managing, planning, coordinating and implementing events
56,800 – 71,000 USD (salary offer dependent on candidate’s experience and qualifications, internal equity considerations, budget availability, and salary administration guidelines).
Knowledge, Skills & Abilities- Experience and proficiency with Windows‑based computer programs including MS Outlook, Word, Excel and PowerPoint.
