JOB SUMMARY
The Event Support Staff is a part-time position that plays a vital role throughout the City of Lawrenceville's event season. This position supports the successful execution of special events outdoors and indoors, provides administrative assistance, and contributes to facility operations. Responsibilities span a variety of event types, including but not limited to:
•City-produced events (BOOfest, Harvest Festival, Cultura Fiesta Latina, Prelude to the Fourth, Lawrenceville Boogie, LIVE in the DTL, DTL CON-Quest, etc.)
•Small City-produced events (Movies on the Lawn, DTL Happenings, Beats on the Streets, Holiday Happenings, etc.)
•Lawrenceville Arts Center (LAC) rentals and presented shows
•Third-party or partnered events (Christkindl Market, Around the World in the DTL, etc.)
•In-office administrative or logistical support
Event Support Staff provide a wide range of operational and administrative assistance to ensure the success of City events, programs, and facility operations. Duties include offering entry-level operational support at community events and small programs; serving as an on-site event lead or secondary point of contact for events, vendors, or activity areas; and assisting with LAC rentals, performances, and venue operations.
Staff may also act as the primary on-site staffing lead for LAC rentals and presented shows when full-time personnel are unavailable and support the whole Community and Economic Development team with office based event and program coordination tasks. This position works a flexible, shift-based schedule that varies based on event and facility needs, including evenings, weekends, and holidays, with responsibilities and assignments that may change depending on the specific shift, event type, or location.MAJOR
DUTIES
• Assist with event setup and breakdown, including tents, tables, and signage.
• Assist full-time staff during event execution hours.
• Provide guest service support and basic event monitoring.
• Direct all attendees, vendors, contracted performers/vendors, volunteers, event staff, and provide accurate event information.
• Maintain event-area cleanliness and safety.
• Direct and Manage event zones and activity areas for large scale events.
• Oversee event execution for small-scale events.
• Communicate issues or concerns to the event supervisor.
• Ensure event timelines and safety standards are met.
• Complete and submit required Shift Opening/Closing Checklists when working unsupervised.
• Oversee set up and break down LAC event and rental spaces.
• Provide front-of-house service for renters and guests.

• Act as a client liaison under LAC staff supervision.
• Serve as the on-site venue supervisor and primary point of contact for renters and clients.
• Execute full opening and closing procedures for the LAC based on rental needs and venue SOPs.
• Monitor safety, building standards, and guest experience throughout rentals and performances.
• Direct and oversee any assigned part-time staff during LAC operations.
• Manage access to doors, dressing rooms, backstage areas, and restricted zones.
• Escort and support renters, performers, and partners during activities.
• Document shift operations, issues, and incident reports.
• Complete and submit all required opening/closing checklists and shift reports after each assignment.

• Perform clerical tasks, including data entry, supply preparation, and inventory management.
• Organize signage, materials, and stored event assets.
• Assist with pre-event logistics and planning tasks.
• Conduct event research, including sourcing performers, entertainment, and attractions.

• Knowledge of basic safety and risk-management practices related to public gatherings, venues, and outdoor events.
• Knowledge of facility operations procedures, including opening/closing processes and access control.
