Hailide America, Inc is a subsidiary of Zhejiang Hailide New Material Co, Ltd. Hailide America markets and distributes Polyester Industrial Yarn for Zhejiang Hailide throughout North and South America for the following products: tire cords, airbags, seatbelts, coated fabrics, geo-synthetics, narrow fabrics and rope/webbing. Position Summary

The Operations Coordinator provides critical support across supply chains, logistics, purchasing, and accounting functions. This role is responsible for coordinating import logistics, maintaining accurate operational data, supporting customer communications, and ensuring the timely flow of information between internal departments, vendors, freight partners, and customers. The ideal candidate is highly organized, detail-oriented, analytical, and thrives in a fast-paced, team-oriented environment.

  • Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, formulas, and data analysis
  • Exceptional attention to detail and accuracy
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong organizational, analytical, and problem-solving skills
  • Excellent written and verbal communication skills
  • Self-motivated with the ability to work independently and collaboratively

Key Responsibilities

Supply Chain & Logistics Support

  • Support daily supply chain, purchasing, and logistics operations
  • Coordinate import shipments and maintain accurate shipment tracking
  • Prepare and file Importer Security Filings (ISF)
  • Coordinate delivery orders (DOs) and direct container deliveries
  • Provide customers with weekly shipping schedules and shipment updates
  • Process customer information and maintain accurate records
  • Cross-train to provide backup support for order processing, domestic freight quotes and shipment fulfillment, and other operational functions

Operations & Accounting Support

  • Generate, analyze, and distribute operational and financial reports
  • Perform data entry to support and maintain accurate records for inventory, purchasing, imports, and financial transactions
  • Complete three-way matching of purchase orders, receiving documents, and vendor invoices to ensure billing accuracy
  • Support inventory reconciliation and operational reporting as needed

Communication & Coordination

  • Serve as a primary point of communication with vendors, freight forwarders, carriers, customers, and internal departments
  • Manage a high volume of email correspondence while maintaining accuracy and responsiveness
  • Prioritize multiple assignments and ensure timely completion of tasks
  • Identify process improvements and proactively resolve operational issues
  • Maintain organized documentation and support continuous improvement initiatives

Preferred Qualifications

  • 3+ years of experience in operations, supply chain, logistics, purchasing, or accounting support, preferably in a manufacturing or distribution environment
  • Working knowledge of international shipping documentation, customs procedures, and Incoterms
  • Experience with ERP systems and inventory management software
  • Strong proficiency in Microsoft Excel and Microsoft Office Suite
  • Experience coordinating domestic and/or international shipments
  • Demonstrated ability to work effectively under deadlines while maintaining a high level of accuracy
