Executive Assistant to aide in their Daily Functions to help their tasks and responsibilities be more streamlined and process driven. The “Executive Assistant” provides high-level administrative support to executives and senior management to ensure the smooth and efficient operation of the organization. This role involves managing schedules, coordinating meetings, handling confidential information, and supporting key business operations. - Manage executive calendars/ schedule meetings/ appointments and travel arrangements
- Prioritize daily activities and ensure the executive is prepared for meetings and engagements
- Coordinate with internal and external stakeholders to schedule and confirm appointments
- Screen and direct incoming calls/emails and other correspondence
- Organize and coordinate meetings/events and conferences (including logistics and agenda preparation)
- Prepare presentations and materials for meetings and engagements
- Arrange domestic and international travel (including booking flights/accommodations and transportation)
- Maintain and organize files/records/documents and ensuring they are easily accessible and up-to-date
- Handle sensitive and confidential information with discretion and professionalism
- Assist in preparing reports/proposals and other documents as needed
- Assist with specific projects as assigned/ensuring deadlines and deliverables are met
- Handle day-to-day administrative tasks such as ordering supplies/processing invoices and managing office operations
- Provide general administrative support to other departments or teams as needed
- A Bachelor’s degree or equivalent experience in business administration or related field is preferred
- Minimum of 2 years of experience as an Executive Assistant/Administrative Assistant or similar role
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Proficient in Microsoft Office Suite (Word/Excel/PowerPoint/Outlook) and/or Google Workspace
- Ability to manage multiple priorities in a fast-paced environment
- Strong interpersonal skills and the ability to interact effectively with senior management/staff and external stakeholders
- Ability to work independently and with minimal supervision
- High degree of professionalism and ability to maintain confidentiality
- Flexibility and adaptability to changing tasks and priorities
- A proactive attitude and ability to anticipate the needs of executives
- Strong problem-solving abilities and ability to make decisions in a fast-paced environment.
