The Assistant Community Manager supports the Community Manager in daily operations of assigned properties, managing reports, collections, resident relations, leasing, and administrative duties. The role alternates between two properties less than two miles apart.
Duties and Responsibilities Income Collection- Maintain accurate resident records, updating rents, deposits, and application fees.
- Issue notices for late payments, eviction, returned checks, and memos.
- Ensure all deposits and fees are paid prior to move‑in.
- Post and deliver daily money to the bank by 2:00pm.
- Coordinate past‑due collections, sending bad debts to approved agencies and assisting them as needed.
- Increase monthly deposits through aggressive collection procedures.
- Promote Keener Care attitude and handle resident complaints.
- Answer telephones, direct callers, and maintain daily status of apartments.
- Input application data into the computer system.
- Conduct physical inspections, report maintenance needs, and inspect move‑outs and vacancies.
- Know all phases of leasing and resident retention.
- Work with lease renewals each month.
- Greet prospective clients, show the community, and perform leasing duties.
- Handle incoming calls from prospective leads, current residents, vendors, and suppliers.
- Market the property via cold calls, direct mail, and referrals.
- Collect market survey data and stay aware of local market conditions.
- Update daily reports (move‑out notices, activity, etc.) and provide information to the Community Manager.
- Organize and file all reports, leases, and paperwork.
- Proofread lease documents and process move‑ins and move‑outs.
- Process all security deposit move‑out reports.
- Accept resident service requests and route them to the Lead Maintenance Technician.
- Follow up on service completion with residents.
- Generate management reports from the computer system.
- Prepare routine correspondence, memos, and forms.
- Schedule turnkey contractors with approval.
- Maintain office files, newsletters, and online reputation.
- Handle electric service setup, delinquency policy compliance, and eviction coordination.
- Assist leasing consultants and conduct apartment inspections.
- Assist in training leasing staff and promote company culture.
- Perform additional duties assigned by the Community Manager, Regional Supervisor, or Keener Management.
- Provide training for leasing staff.
- Maintain online reputation and social media posts.
- Strive for superior customer service internally and externally.
- Assist with management reports and newsletter preparation.
- At least one year of on‑site property management experience.
- Basic computer knowledge (typing 30
WPM, word processing, spreadsheets, email, and on‑site rental system software). - High school diploma or equivalent required; college degree preferred.
- Stand, walk, and sit alternately; 65% of time on feet, 35% sitting.
- Occasional bending, stooping, climbing stairs, lifting up to 25lb.
- Frequent standing and walking for property inspections.
- Constant typing, telephone use, and finger dexterity for office equipment.
- Transportation: validity of driver’s license and insurance; frequent use of personal vehicle.
- Vision: frequent reading of small details and computer screens.
- Hearing: frequent telephone and in‑person communication.
- Environment: 66–100% indoors, 33–66% outdoors; exposure to occasional caustics or solvents.
- Follow all company safety rules and use appropriate equipment.
- Report unsafe conditions and incidents immediately.
- Complete monthly safety course as assigned.
- Meet performance standards and company policies.
- Comply with supervisory instructions and additional duties.
