Job Description

Position Overview

IES Residential, Inc. is seeking a detail-oriented and organized Pre-Construction Coordinator to support pre-construction activities, project setup processes, documentation management, scheduling coordination, and workflow communication. This role works closely with Estimating, Purchasing, Project Management, Design, vendors, subcontractors, and internal departments to help ensure projects are properly planned, documented, tracked, and prepared for successful execution.

The ideal candidate is highly organized, professional, proactive, and comfortable managing multiple priorities in a fast-paced construction office environment.

Responsibilities
  • Coordinate pre-construction activities, project setup tasks, and workflow processes across multiple departments.
  • Maintain and organize project documentation, plans, specifications, contracts, submittals, permits, approvals, and tracking logs.
  • Assist with project scheduling, milestone tracking, bid coordination, and document management.
  • Coordinate communication between Pre-Construction, Estimating, Purchasing, Project Management, Design, vendors, subcontractors, and internal teams.
  • Monitor submittals, RFIs, permits, approvals, and project timelines to support project readiness and operational efficiency.
  • Maintain accurate project data, reporting, and updates within company systems and project tracking platforms.
  • Prepare reports, meeting notes, spreadsheets, and project-related documentation.
  • Identify workflow concerns, documentation issues, and project delays, and assist with resolution efforts.
  • Support process improvements and workflow standardization within the pre-construction department.
  • Ensure confidentiality and proper handling of company, customer, vendor, and project information.
  • Promote professionalism, accountability, organization, and strong internal customer service.
  • Perform additional duties as assigned.

  • Ability to manage multiple priorities and deadlines in a fast-paced office environment.
  • Proficiency with Microsoft Office, including Microsoft Excel, Bluebeam Revu, project management platforms, and related business systems.
  • Strong problem-solving, reporting, and data management abilities.
  • Ability to read and interpret construction documents, plans, and specifications preferred.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to collaborate effectively with project teams, vendors, subcontractors, and internal departments.
  • Ability to pass pre-employment screenings, which may include background and motor vehicle record checks.
  • English speaking, reading, and writing preferred, and required where necessary to perform job duties.
  • Professional, positive, and respectful demeanor when working with customers, coworkers, vendors, subcontractors, and business partners.
Physical Requirements and Work Environment
  • Must be able to work on-site and in person; this is not a remote or hybrid position.
  • Work is primarily performed in a typical office environment, including prolonged periods of sitting and computer work.
  • May require occasional standing, walking, bending, and reaching.
  • Ability to communicate in person, by phone, and electronically, including through tablets, smartphones, and other office technology.
  • Ability to work overtime, modified schedules, or occasional weekends as business needs require.
  • Must maintain dependable transportation and consistent, reliable attendance.
  • Travel may be required to support project and operational needs.
  • Ability to lift, carry, push, and pull at least 25 pounds.
  • Ability to exercise sound judgment and make independent decisions within established company policies and procedures.
