GeneralJob Description
Organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety. Responsible for supervising all operational activities at the location.
Essential Functions- Coordinate daily operations at the facility, including organization of staff, delegation of tasks, and ensuring compliance with TOSRA/OLS policies and procedures. Administer clinic policies and procedures in a timely manner and ensure staff work is error‑free.
- Direct the implementation of new policies, protocols, and procedures, including IT systems, and recommend needed changes in organizational systems.
- Supervise staff, including hiring, training, job orientation, compensation, evaluations, counseling, discipline/termination, and staff/physicians matters. Direct responsibility for clerical and clinical staff.
- Act as a liaison between staff, physicians, and administration; collaborate with managers to ensure smooth operations.
- Maintain clinic facility and equipment, order office supplies, ensure clinic cleanliness, and coordinate repairs and maintenance.
- Serve as a liaison between the clinic and external agencies; coordinate visits and communicate results to administration.
- Work with the Director of Patient Services to establish and implement goals, objectives, policies, procedures, and systems for the location.
- Assist in financial counseling and collection efforts; ensure staff follow through on collection tickets.
- Assist in coordinating depositions, attorney conferences and other meetings held at the location.
- Provide coding assistance to clinic staff and physicians for daily office charges.
- Back up all employees and roles in the office as necessary.
- Maintain petty cash change fund and reconcile the fund daily.
- Resolve patient concerns and staff issues to ensure quality patient service.
- Attend required meetings and participate in committees as requested.
- Participate in professional development activities to stay current with health‑care trends and practices.
- Promote a positive work environment and team spirit; motivate staff for maximum work efficiency.
- Maintain strict confidentiality.
- Perform other duties as assigned.

High School diploma or GED;
Bachelor’s degree required (will consider experience in lieu of Bachelor’s).
- Five years’ experience in a healthcare setting required, preferably in orthopedics.
- Previous supervisory experience in a medical office setting preferred.
- Two years’ experience performing in an EMR/PM platform required.

- Knowledge of organizational policies, procedures, systems and objectives.
- Knowledge of governmental regulations and compliance requirements.
- Knowledge of computer systems and applications, specifically Microsoft Office programs.
- Knowledge of Athena Electronic Medical Record preferred.
- Skill in exercising initiative, judgment, problem‑solving and decision‑making.
- Ability to communicate clearly and effectively in writing and verbally.
- Bilingual preferred.
- Ability to walk frequently and stand for extended periods of time.
- Ability to lift and carry items weighing up to 50 pounds.
- Must have full range of motion.
- Must have adequate visual acuity to read and interpret written material.
- Must have adequate hearing and speaking abilities.
- Ability to work in a fast‑paced environment.
- Combination clinic and office setting.
- Exposure to communicable diseases, toxic substances, radiation, and bodily fluids.
