Position Summary & Responsibilities
Position Summary:
This position is to enter accurate information into established data bases for resident pay, location and personal information.
Job Responsibilities may include but are not limited to the following:
* Enters supplemental pay for residents. Retrieves payroll report and forwards to appropriate supervisors for verifications of data thereon. Upon receipt of verified reports assures accuracy of information and makes final adjustments prior to forwarding official payroll records to the Business Office for posting to resident accounts.
* Enters changes received from unit team on a daily basis regarding residents assigned to Lansing Correctional Facility which includes 120 day reviews, good time awards, emergency contacts, grievances, property claims, release movements to include closing out payroll as well as the "master records update" which includes 60 possible variables. Primary back up for the Count desk and for detainers/releases.
* Retrieves from Athena a minimum of twice a week the cell house rosters and forwards to unit team. Retrieves the work assignment chart from Athena daily and takes packets to control OIC. Retrieves from Athena the "local org" or alpha list daily and distributes.
* Retrieves reviews from unit team and corresponding resident files and forwards to the Program Management Team at Lansing Correctional Facility for review. After review and signatures obtained, the incumbent enters into Athena. Returns reviews to the appropriate unit team and ensures files are properly returned. Enters the creation and/or reduction of job slots as approved by PMC.
* Files as assigned in the resident master record accordingly to policy and procedure. Assists with shifting of files as needed.
* Maintains a master roster of all, current residents at Lansing Correctional Facility for verification of possession of files. Enter Unit Team assignments into Athena.
* Retrieves a monthly report of residents who have maxed their sentence. Pulls files and boxes them to send to Repository per policy.
* Performs other duties as assigned. Must learn and follow all security measures for working with residents in a multi-level custody correctional facility.
Qualifications
Minimum Qualifications:
One year of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.
Preferred Qualifications:
High School Diploma or GED Equivalent. Computer experience with excel and word.
Post-Offer, Pre-employment Requirements:
Must take and pass a drug screening test approved by the Division of Personnel Services unless the incumbent is moving from one safety-sensitive position within the same agency performing substantially similar duties. May be required to pass a background check.
