Position: Senior Archivist / Site Lead

Summary

ESC is seeking a full‑time Senior Archivist / Site Lead to support the Combined Arms Command History Office at Fort Leavenworth, Kansas. The role involves preserving, organizing, digitizing, cataloging, and retrieving materials within the Combined Arms and Fort Leavenworth Archive. Responsibilities include maintaining the CAFLA catalogue and finder guide, processing new archival material, supporting document retrieval requests, and providing professional archival expertise to the CAC History Office.

The ideal candidate is an experienced archivist with an active SECRET clearance, strong knowledge of professional archival practices, and hands‑on experience with records appraisal, preservation, cataloging, digitization, SharePoint, Microsoft Office, and archival database or finding aid workflows.

Responsibilities
  • Develop an initial prioritization plan after inspecting the physical and digital archive. The plan should address appraisal, destruction/disposition, preservation, labeling, database entry, and a timeline for completing required archival work.
  • Transfer archival material between the CAC History Office, Combined Arms Research Library, and archive storage/processing locations while maintaining security, chain‑of‑custody awareness, and proper handling practices.
  • Appraise physical and digital materials for inclusion in the archive using professional archival standards, CAFLA organization practices, and sound historical judgment. Review selected materials for classification considerations and recommend downgrading when appropriate, subject to Government review.
  • Prepare records not selected for inclusion for destruction or disposition in accordance with Army records management procedures, security requirements, and Government approval processes.
  • Preserve hard‑copy and electronic archival documents using professional archival practices, with attention to physical preservation, electronic records preservation, and disaster preparedness.
  • Identify, arrange, and label archived documents according to the established CAFLA labeling system and current CAFLA processing instructions.
  • Digitize, convert, and upload materials into the CAFLA digital archive and SharePoint/database environment. This includes creating PDF/A files, converting Word/PowerPoint/Excel files to archival PDF format, using portfolio PDFs where appropriate, following CAFLA naming conventions, uploading documents, creating finder guide entries, and labeling folders.
  • Maintain and update the CAFLA Catalogue / digital finder guide so archived materials are discoverable, organized, and retrievable for historical research.
  • Retrieve hard‑copy and digital documents in response to vetted CAC internal and external document requests. Requests average approximately five per week but may vary, and some requests may include short suspense windows.
  • Prepare and submit monthly status reports covering progress, deliverables, documents processed, retrieval requests, milestones, issues, and significant events.
  • Provide archival expertise during records management meetings, liaison visits, archive orientations, and instructional sessions for interns, archival professionals, students, senior leaders, or other authorized audiences.
  • Safeguard Government information, equipment, keys/key cards, work areas, archival material, and classified or sensitive records. All work involving Government records, CUI, or classified information must be performed using Government‑furnished equipment and Government networks; contractor corporate systems may not be used for CUI or classified data.
