Who You Are (Requirements):- Bachelors' Degree in relevant field or equivalent work experience.
- You are highly organized and can effectively prioritize competing responsibilities.
- You are comfortable using technology, including Outlook, One Drive, Zoom, Google Suite, and calendar management tools.
- You are an excellent communicator, both verbally and in writing.
- You naturally put the client's best interests first and are committed to delivering exceptional service.
- You hold yourself to high standards and take pride in producing accurate, high-quality work.
- You bring a positive attitude and contribute to a collaborative, energetic team environment.
- You communicate openly, professionally, and constructively.
- You understand the importance of discretion and maintain the highest level of client confidentiality.
- You either hold a Life & Health Insurance License or have the ability and commitment to obtain one within 90 days of employment.
Your time will be split between operations & administrative support and client-facing experience and service :
- Calendar Management & Scheduling - Schedule, reschedule, and confirm client and prospect meetings; coordinate team calendars; and organize wholesaler meetings and other firm events. Ensure schedules are organized, efficient, and aligned with business needs.
- Client Experience & Onboarding - Serve as the primary point of contact for prospective and new clients throughout the onboarding process. Guide clients through account setup, paperwork, and platform access while ensuring accuracy, responsiveness, and attention to detail at every step. Deliver a warm, professional, and exceptional onboarding experience that reflects a high standard of service.
- Administrative & Office Support - Maintain office organization and a professional environment. Manage mail, office supplies, inventory, team licenses, travel coordination, business purchases, technology requests, and updates to internal resources and systems.
- Client Service & Record Updates - Maintain accurate client records, including contact information, addresses, beneficiary updates, and other service-related changes. Ensure timely updates across all relevant platforms and systems.
- Event & Gift Coordination - Coordinate team events, celebrations, and outings, including monthly gatherings, holiday events, and other special occasions. Manage gifting for clients and team members, maintain holiday and special occasion lists, and ensure thoughtful, timely recognition throughout the year.
- Collaboration & Teamwork - Contribute when needed to support the clients, team, and firm objectives, demonstrating flexibility and a team-first mindset while with evolving business needs.
