Billing Clerk

This position is accountable for the preparation of all monthly invoicing sent directly to customers, which has a direct impact on the company’s cash flow. The role requires interfacing with company project managers and external customers to obtain the information necessary for billing.

Essential Functions
  • Analyze customer contracts or purchase orders to extract all pertinent information for generating invoices that meet the customer’s requirements.
  • Prepare and maintain project files, including completed projects.
  • Enter retainage procedures and other customer requirements into the database.
  • Match extra work authorizations with project change orders.
  • Prepare special billing formats for invoicing.
  • Recalculate and proof the unbilled Receivable Report monthly.
  • Work with accounts receivable to resolve payment differences with customers.
Required

Education and Experience
  • High school diploma.
  • Proficiency in Microsoft Excel.
Preferred

Education and Experience
  • Associate’s or Bachelor’s degree.
  • At least two years of construction billing or similar construction invoicing/accounting experience.

Physical Requirements
  • Stand or walk for long periods.
  • Use arms and hands to reach for, handle or manipulate objects.
  • Frequently lift objects weighing up to 10 pounds, occasionally up to 20 pounds.
  • Stoop, kneel, crouch and crawl.
  • Maintain acceptable visual acuity for near, far and color with or without correction.
  • Hand‑eye coordination.
Environment

The Billing Clerk works primarily in a comfortable office environment. However, exposure to site and weather conditions, as well as hazardous materials or chemicals, fumes, odors, loud noise, or dangerous machinery, may occur. Personal Protective Equipment (PPE) — gloves, hard hats, and safety glasses — must be worn in all areas as required. While not considered inherently dangerous, the role requires vigilance and adherence to safe procedures, especially during onsite services.
