Responsibilities- Preparation, administration and maintenance of contract databases and filing systems.
- Maintain filing system (electronic and hardcopy – inclusive of letter and change request logs – submittal and response).
- Distribution and filing of correspondence from contractors, as directed by Contract Managers and Contract Administrators.
- Distribution and filing of Minutes of Meeting as per Contract Distribution matrix.
- Processing and expediting of contract documents sent for signatures via Docusign and other means.
- Documents Management and maintenance of Contracts in client's Network Drive.
- Provide support to the CA’s in obtaining required signature approvals of invoices, contract change orders / MOD’s, routing guides etc.
- Provide support to the Contract Administrators in the tracking, expediting, collecting and collating contractor's daily, weekly and monthly reports and regular data submissions.
- Supporting CA’s in verification of monthly contractor invoices (if requested by CA).
- Update and the administration of client Contract Management System (CMSi).
- Preparation (under guidance) of contract weekly and monthly reports.
- Perform monthly CMSi and SAP reconciliations, and monthly Contract Management reports submitted to Functional Department Manager.
- Regular audit of contract files.
