Position Purpose
To manage the daily administrative activities to facilitate an efficient administrative infrastructure supporting the department’s multi-disciplinary academic and research goals.

- One to two years of relevant experience.
- Exceptional verbal, written, and interpersonal communication skills, with the ability to interact professionally and confidently with faculty, staff, students, institutional partners, and external contacts.
- Highly organized, resourceful, and proactive, with the ability to anticipate needs, identify next steps, and move work forward with appropriate independence.
- Demonstrated initiative and sound judgment, including the ability to recognize when to act independently, when to seek guidance, and when to elevate an issue.
- Ability to manage multiple priorities in a fast-paced environment while remaining responsive to changing needs, schedules, and deadlines.
- Strong attention to detail and commitment to accuracy, follow-through, and timely completion of work.
- Collaborative and team-oriented, while equally comfortable working independently and taking ownership of assignments from start to finish.
- Adaptable, curious, and comfortable learning new processes, systems, and responsibilities.
- Demonstrated discretion and sound judgment in handling confidential and sensitive information.
- Strong customer-service orientation and the ability to build positive working relationships across a diverse academic and professional community.
- Proficiency with Microsoft 365, SharePoint, Zoom, Slack, and related administrative and collaboration technologies, with the ability and enthusiasm to quickly learn new applications and systems.
Bachelor’s degree plus three plus years of relevant experience.

Key Accountabilities
Planning, Coordinating, and Scheduling
- Provides administrative support for faculty and non-faculty academic appointment, reappointment, and related personnel processes in coordination with the Operations Director and other administrative offices.
- Coordinates departmental meetings, seminars, workshops, committee meetings, faculty recruitment activities, interview schedules, visitor itineraries, and special events, ensuring seamless logistical planning and execution.
- Assists with departmental financial and administrative transactions, including travel arrangements and reimbursements, purchasing, event support, invoice processing, and other routine business operations.
