Summary

Description:

The Support Services Assistant plays a vital role in ensuring the efficient day-to-day operation of administrative and hospitality services across the ENTEK Lebanon campus. This position provides exceptional customer service to employees, visitors, vendors, and community partners while supporting a variety of office, reception, hospitality, and administrative functions. The ideal candidate is highly organized, detail-oriented, adaptable, and able to manage multiple priorities in a fast-paced environment.

Success in this role requires strong communication skills, a proactive approach to problem-solving, and a commitment to delivering professional support across all levels of the organization. This position also serves as the primary backup to the Receptionist and must be able to seamlessly assume front-desk responsibilities when needed.

Essential Functions/Key Responsibilities
  • Set-up and Clean-up for hospitality functions across the Lebanon Campus. This may require early morning and occasional evening hours.
  • Prepare and distribute documents, reports, and presentations as needed.
  • Conduct customer and employee interactions and respond to inquiries to meet the needs of management and staff across the company.
  • Maintain, trouble shoot, and request service calls as needed for office equipment.
  • Monitor funds for postage machine and replenish as needed.
  • Mail packages as requested.
  • Answer multi-line phones and perform Receptionist functions on a daily basis (approximately 2 hours per day), and when needed to cover vacations; screen and route calls, relay messages, greet visitors, and ensure that all visitation documents have been signed.
  • Open, sort, and distribute incoming mail and process outgoing mail.
  • Operate office equipment such as photocopier/scanner, printer, fax machine, and postage machine.
  • Operate personal computer to access email and electronic calendars to schedule meeting rooms and company vehicles.
  • Conduct office supply inventory counts and submit to Receptionist for stock replenishment.
  • Pick up mail at USPS and company errands as needed (hospitality meals and supplies)
  • Ensure compliance with office policies and procedures.
  • Printing and posting daily calendars in conference rooms.
  • Make recommendations for process improvements.
  • Assist Corporate Service Manager with employee and community events as needed.
  • Flexibility to work overtime and/or different shifts as needed for vacation coverage.
  • Assisting with various projects as requested.
Minimum Qualifications &

Experience:
  • High School diploma or GED.
  • Strong organizational and time management skills.
  • Ability to communicate orally and through written correspondence with customers and employees.
  • Basic mathematical skills (addition, subtraction, multiplication, division), required.
  • To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
  • Ability to comprehend and communicate in English.
  • Valid driver’s license.
  • Detail oriented with a high level of accuracy.
  • Ability to prioritize tasks and meet deadlines.
  • Customer service experience preferred.
  • Experience with Microsoft Office, including Outlook, Excel, Word, Teams, and Power Point.
Knowledge, Experience & Capabilities:

Critical knowledge
  • Basic clerical skills.
  • Ability to read, analyze, and interpret most documents.
Critical experience
  • 2 years of administrative/office experience.
  • Experience with various software applications including Microsoft Outlook, Excel, and Word.
Critical technical, professional and personal capabilities
  • Ability to maintain regular, reliable, and predictable attendance at scheduled work shifts.
  • Ability to understand and communicate in conversational English, including following verbal and written direction.
