Position Purpose

The Family Services Assistant provides direct support to the Family Services Coordinator in monitoring and maintaining compliance with federal and state grant requirements in the areas of ERSEA, family partnerships and engagement, community resources and collaborations, and support service delivery. This position supports strong family engagement, program compliance, and high-quality service delivery across Head Start/Early Head Start.

Job Responsibilities
1. Component Area Support
  • Participate and help facilitate family services meetings.
  • Assist with family services training for staff and families (e.g., family night presentations).
  • Assist with family service orientations for newly hired staff.
  • Regularly monitor assigned family service areas to ensure compliance with Federal Head Start/EHS Performance Standards and State of Oregon requirements.
2. Family and Community Engagement (PFCE) Compliance
  • Support overall program compliance in Parent, Family, and Community Engagement (PFCE).
  • Complete local, regional, and federal reports (PIR, monthly summaries, etc.) as assigned.
  • Coordinate with all service areas to promote consistent and ongoing family engagement.
  • Help implement outcomes-based systems and services that prioritize family engagement.
  • Support quality and consistency of family services through oversight, monitoring, and review of service delivery.
  • Contribute to collaboration with community partners.
  • Assist with parent committees and events, supporting parents in understanding program roles and responsibilities.
  • Work with staff and families to secure community professionals for parent meetings.
  • Maintain resource materials and information for staff and families at each center.
  • Support parent involvement activities that promote Kids & Company HS/EHS.
  • Provide support to Policy Council; attend monthly meetings for both executive and full council sessions.
  • Assist with parent and community volunteer projects, including Foster Grandparent Program activities.
3. Training
  • Provide or arrange training based on identified needs from staff training plans or monitoring visits related to the PFCE Framework.
  • Provide ongoing training and technical assistance to HS/EHS staff in collaboration with Region X Training & Technical Assistance.
  • Design and deliver parent training related to PIR indicators.
  • Provide training to staff, parents, Policy Council, governing bodies, and community partners as requested.
4. Family Engagement (caseload determined by supervisor)
  • Support regional educational staff in planning and organizing family support services, including referrals, orientation, and file maintenance.
  • Work directly with assigned families—based on regional referral processes—to provide targeted support for family partnership goals.
  • Assist with case reviews (staffings) as needed.
  • Meet regularly with the family support team, including the Family Services Coordinator.
  • Maintain accurate, detailed, and up-to-date records.
  • Support Policy Council representatives and attend meetings when possible.
  • Attend regional parent meetings to reinforce leadership roles and engagement.
