Qualified applicants are sought for a full-time Administrative Assistant whose duties include the transcription and entering of technical and/or confidential material in addition to general clerical tasks while maintaining a central office for the daily operations of the school.
LocationThis is an on-campus position requiring a presence in Lebanon, TN during the summer, fall, and spring semesters.
Knowledge, Skills, and Abilities- Possess an understanding of and commitment to the University Mission.
- Assist the Dean and faculty.
- Compile information received from faculty regarding the academic schedule each semester. Computer entry of information and run a preliminary schedule for the School’s Program Directors and Dean to review.
- Send reports of student academic evaluations to each faculty member at the conclusion of each semester.
- Schedule appointments, make contacts, and arrange meetings for the School Dean.
- Attend School meetings, write and distribute minutes.
- Assist adjunct faculty, ensuring they receive necessary academic information and mail throughout the semester.
- Plan and coordinate School events.
- Use various software applications to assemble, manipulate, and/or format data and reports.
- Maintain academic records through filing, retrieval, retention, storage, compilation, coding, and updating.
- Answer telephone, screen callers, relay messages, and greet School visitors.
- Pick up, sort, and distribute mail; deliver materials/packages as required.
- Maintain office supplies, process purchase orders, travel arrangements and authorizations, and check requests.
- Maintain records of course syllabi, CADs, and other documentation.
- Operate and coordinate servicing of office equipment.
- Operate personal computer to access email and other basic office software.
- Complete various request forms for office operations as directed.
- Do assigned tasks as required by the supervisor and/or superior.
- Participate in and complete Performance Management Process, following the guidelines set forth by the University.
- Perform duties and responsibilities with limited supervision. Make decisions and establish work priorities on procedure-oriented operations.
- Supervise student workers.
- Skills required:
computer knowledge, typing or keyboarding, clerical knowledge and experience, good written and oral communication, database management.
One to three years of related experience required. Additional education may be substituted for years of work experience.
EducationHigh School Diploma or GED required. Preferred candidates will have college credits or equivalent work experience.
