Accounting Assistant, Bookkeeper/ Accounting Clerk
The Senior Staff Accountant is responsible for keeping reliable accounting records and systems up to date with real-time daily business operations as well as assisting in the month-end close process and special skills projects.
The role keeps Account Payable, Accounts Receivable, and Project Management Systems current in our business software like Quick Books Online, Quick Books Projects, , RAMP/expenses, and projects management master spreadsheets.
The role also assists with the month-end close process and some payroll support functions.
This role reports to the Director of Business Services and works collaboratively with the CFO (outsourced/shared). The ideal candidate brings strong hands-on accounting experience and is a self-starter.
- Daily entry and coding of vendor bills with proper GL and project code allocation
- Route bills for approval and manage approval workflows
- Manage vendor setup and ePay enrollment, including W-9 collection and 1099 tracking
- Maintain AP documentation with supporting documentation that is audit-ready
- Ensure and Quick Books records are in synch (Ledger, Sub-ledger, Paid/Open)
- Daily reconciliation of cash accounts related to Accounts Payable
- Apply cash received to Accounts Receivable invoices
- Daily reconciliation of AR cash receipts to bank activity
- Prepare and post month-end journal entries, including payroll accruals, goodwill amortization, and accrued interest
- Record monthly depreciation and set up new fixed assets, including vehicles
- Reconcile balance sheet accounts and maintain supporting schedules
- Assist in month end WIP accounting
- Prepare workers’ compensation calculations and monthly uploads
- Perform weekly 401(k) employer match calculations and file uploads
- Support annual workers’ compensation audits, including payroll and labor classification reports
- Prepare and support 1099 and W-2 filings
- Support Certificate of Insurance (COI) audits and documentation
- Execute special accounting and finance projects with limited oversight
- Bachelor’s degree in accounting, finance, or equivalent work experience
- 3-5 years of hands-on accounting experience
- Knowledge of financial systems (Quick Books, BILL, RAMP) preferred
- Strong working knowledge of GAAP and month- end close
- Must have a high-level attention to detail
- Proven ability to work independently with minimal supervision
- Project or job-cost accounting experience preferred
