Our diverse, seasoned team has over eight decades of experience in raising the visibility of impactful education organizations, including some of the most innovative charter school and education reform organizations in the country.
We are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will have exceptional communication skills, a keen eye for detail, and the ability to manage multiple priorities in a fast-paced environment. This role is critical in ensuring the smooth operation of our organization and contributing to the success of our priority initiatives.
As Executive Assistant, your job duties would include:
- Provide administrative support to CEO including scheduling virtual and in-person meetings and events on calendars, and arranging occasional travel and meeting accommodations.
- Support the CEO’s and Chief of Staff’s internal and external communications efforts to amplify his presence among stakeholders, clients, and external thought leaders, including preparing talking points, conducting research, drafting conference proposals and preparing presentations.
- Support the Chief of Staff coordinating the CEO’s presence at weekly team meetings, biannual team retreats, occasional client meetings, and other events.
- Perform administrative tasks to support the planning and completion of special projects, including team retreats, client events, and internal operations initiatives.
- Build and maintain strong, collaborative working relationships with leadership team and across the entire organization.
- Display a commitment to excellent service and clear, concise, and approachable communication.
- Handle confidential information with discretion and integrity.
- Demonstrate resilience and professionalism when managing the expectations of two senior executives. Tailor your approach to align with their working styles and proactively anticipate their needs.
- Proactively identify opportunities to improve processes and take ownership of projects from inception to completion. Show initiative in problem-solving and decision-making to support executive and team goals.
- Qualifications and Skills Required:
- Bachelor’s degree in business administration, communications, or a related field preferred.
- Minimum of 3-6 years of experience as an executive or administrative assistant to CEO and/or C-Suite. Experience at a marketing / public relations agency or in the education sector is a plus.
- Proficient at synthesizing and disseminating information.
- Energized by the opportunity to contribute to the broader education reform movement.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Strong research skills - taking in information and data and synthesizing.
- Proficiency in Asana and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Sharepoint). Experience with Harvest is a plus.
- Ability to handle multiple tasks simultaneously and prioritize effectively.
- Striking a balance between anticipation, intuition, and managing up.
- Flexible thinking and comfort with iteration and changing competing priorities.
- Adept at handling sensitive information with care and confidence.
- Attention to detail and problem-solving skills.
