Purpose Statement

The job of Administrative Secretary was established to provide administrative and secretarial support to assigned administrative personnel, coordinate activities, monitor assigned tasks, and provide information, recommendations, and direction as requested by the administrator.

Essential Functions
  • Compile data from various sources (work orders, budget reports, personnel records, etc.) to comply with financial, legal, and administrative requirements.
  • Coordinate projects, meetings, in‑service events, travel, and accommodations to deliver services in a timely fashion.
  • Maintain manual and electronic document files and records (budget data, employee records, financial records, reports, etc.) for up‑to‑date information and historical reference per guidelines.
  • Monitor activities on behalf of the administrator (account balances, work order status, etc.) to achieve goals and meet target dates.
  • Participate in meetings, workshops, and trainings to record minutes and support attendees.
  • Prepare documents such as correspondence, agendas, minutes, event programs, bulletins, and reports in compliance with established guidelines.
  • Process documents and materials (time sheets, work orders, requisitions, travel reimbursements, budget transfers, etc.) in compliance with guidelines and regulatory requirements.
  • Reconcile account balances for assigned budget categories to maintain accurate balances.
  • Research topics (current practices, policies, education codes, etc.) to provide information, recommendations, or address administrative needs.
  • Respond to inquiries from internal and external parties (staff, parents, students, public agencies, etc.) to facilitate communication.
  • Schedule activities (appointments, meetings, travel reservations, facility usage, etc.) to arrange necessary arrangements.
  • Support assigned administrative personnel with assistance to manage functions and responsibilities.
Other Functions
  • Perform other related duties as assigned to ensure efficient and effective functioning of the work unit.
Job Requirements – Skills, Knowledge & Abilities (Minimum Qualifications)
  • Operate standard office equipment and relevant software applications; prepare and maintain accurate records.
  • Business telephone etiquette; proficiency in grammar and punctuation; knowledge of office practices and procedures.
  • Communicate with diverse groups; exhibit tact, courtesy, and confidentiality; prioritize tasks; maintain attention to detail; establish and maintain effective working relationships; work as a team; handle frequent interruptions.
