Job Summary

The Admission Application Coordinator reports to the Director of Enrollment Management as a key support role within the Admissions team at MICDS, facilitating a smooth, organized, and welcoming admissions process for prospective families applying to MICDS. This position blends strong administrative execution with a warm, child-centered approach, supporting both the operational and relational aspects of admission. The Coordinator serves as a primary administrative partner in managing application process flow, coordinating communications, and ensuring completion of application requirements, while also playing an important role in welcoming and engaging young children applying to the Lower School and conducting the applicant assessment process.

This position helps to ensure that families experience a highly professional, responsive, and supportive admissions journey from inquiry through enrollment.

Essential Functions
  • Support the Associate Directors of Admission in overseeing the admissions process for families applying to MICDS.
  • Assist in the administration and scoring of early childhood and Lower School screening assessments.
  • Welcome, supervise, and engage young children during assessment visits in a calm, reassuring, and age-appropriate manner.
  • Serve as a point of contact for prospective families, managing communication via email, phone, and in person.
  • Help schedule student visits, Lower School screening/assessment appointments, and parent interviews, including sending reminders and follow-up communications.
  • Collect, track, and process required applicant materials, including records from sending schools.
  • Maintain accurate and up-to-date applicant data in the school’s admissions database section of the Veracross data management platform.
  • Monitor application progress and proactively communicate with families to ensure timely completion of requirements.
  • Draft and send admissions-related communications, including emails, letters, and announcements.
  • Help plan, prepare for, and provide logistical support for Admission events, including some evenings and weekends.
  • Exercise discretion and professionalism when handling sensitive admissions information and decisions.
Job Requirements and Qualifications
  • Experience in an administrative, admissions, or educational support role, preferably in an independent school setting.
  • High School Diploma or GED required, bachelor’s degree preferred.
  • Experience working with young children (ages 3–10) in an educational or childcare setting.
  • Understanding of typical developmental milestones in early childhood and elementary‑aged students.
  • Experience administering and/or supporting early childhood or school readiness assessments preferred.
  • Ability to engage children in a calm, supportive, and reassuring manner, particularly in evaluative settings.
  • Strong database management skills and comfort working within admissions or CRM systems.
  • High level of organization and attention to detail, with the ability to manage multiple processes simultaneously.
  • Excellent interpersonal and customer‑service skills, particularly in working with prospective families and young children.
  • Exceptional written and verbal communication skills.
  • Ability to communicate warmly and effectively with families from diverse backgrounds.
  • Professionalism, discretion, and sound judgment when handling confidential information.
  • Ability to work collaboratively in a team‑oriented environment while managing individual responsibilities.
