Position: Front Office Coordinator - Medical Office Experience Required

The Patient Navigator manages a variety of front office functions and is key to the smooth operation of a dynamic outpatient wound care center. The role performs general office duties to assist the staff of the WCC and supports patients throughout the care continuum.

Responsibilities
  • Coordinate with Center leadership to maximize daily patient census.
  • Actively participate in staff meetings to support key functions.
  • Greet patients and visitors, answer and route calls to appropriate staff.
  • Maintain all patient communication needs including scheduling, rescheduling, and appointment reminders.
  • Work and schedule for provider, according to the care continuum model.
  • Obtain and verify patient insurance information, including pre-certifications and pre-authorizations, and enter data in appropriate databases.
  • Collect and enter patient charges, verify and reconcile charges, and prepare monthly patient survey data for providers.
  • Assemble new patient charts, maintain and file existing charts, and conduct spot checks for data completeness and signatures.
  • Coordinate and schedule ancillary testing with other hospital departments.
  • Arrange patient transportation as needed.
  • Maintain office equipment and supplies, and medical supplies as directed.
  • Perform other duties as required.
Required

Education and Experience
  • High School Diploma or GED;
    Associate’s degree preferred.
  • Minimum of two (2) years of office administration experience, preferably in a medical setting.
  • Prior medical coding experience preferred.
Preferred Knowledge, Skills, and Abilities
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Good customer, interpersonal, and communication skills (oral and written).
  • Strong organization and time‑management skills.
  • Typing speed of 60 words per minute.
  • Basic math skills and attention to detail.
  • Ability to maintain confidentiality.
  • Capacity to work in a fast‑paced environment and manage multiple projects simultaneously.
  • Team‑orientated and collaborative work style.
