Summary
The Mailroom Clerk is responsible for handling the day-to-day operations of the mailroom, including receiving, sorting, and distributing incoming and outgoing mail and packages. This role ensures timely and accurate mail handling to support smooth internal communication and business operations. The ideal candidate is detail-oriented, organized, and able to work in a fast-paced environment with minimal supervision.
Essential Functions- Receive, sort, and distribute incoming mail and packages to appropriate departments and personnel.
- Prepare and process outgoing mail, including weighing, labeling, and affixing postage.
- Maintain records of incoming and outgoing mail and packages.
- Ensure proper handling of sensitive or confidential mail items.
- Coordinate with shipping vendors (e.g., USPS, Fed Ex, UPS) for pick-ups and deliveries.
- Maintain mailroom supplies and request reorders when necessary.
- Operate mailroom equipment such as postage meters, envelope openers, and scanners.
- Monitor and maintain cleanliness and organization of the mailroom area.
- Assist with special mailings and bulk shipments as required.
- Provide backup support to other administrative functions as needed.
- Receive and process print requests.
- Strong organizational and time management skills.
- Attention to detail and accuracy in sorting and labeling.
- Good communication skills, both verbal and written.
- Ability to lift packages up to 50 pounds.
- Familiarity with mailroom equipment and shipping software.
- Ability to prioritize tasks and meet deadlines.
- Basic computer skills including Microsoft Outlook, Word, and Excel.
- Dependable, punctual, and able to work independently or as part of a team.
Education and Experience
- High school diploma or equivalent.
- 1–2 years of experience in mailroom operations, administrative support, or shipping/receiving.
- Experience working in a corporate or office environment.

Work EnvironmentThis job operates in a professional office environment. The role routinely uses standard office equipment such as a laptop, desktop, smartphone, and photocopiers. The noise level in the work environment is usually moderate. Essential oils are worn and/or diffused in the work environment.
Position Type/Expected Hours of WorkThis position requires the incumbent to be physically present at the assigned worksite. The regular schedule is from 8 a.m. to 4:30 p.m., with a half hour lunch, Monday through Friday. Occasional evening and weekend work may be required as job duties demand. Employees are also expected to work at least one non-convention farm event a year and to work at the annual company convention.
Exact hour requirements can be reasonably modified as necessary for the business needs by the employee’s manager.
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Specific vision abilities of this job include close vision and the ability to adjust focus. The employee is required to type, file, and occasionally lift office supplies up to 20 pounds. The employee must be physically able to tolerate the scent of essential oils worn or diffused.
