Reporting To: General Manager
Status: Non-Exempt, Full-Time
Salary: DOE

The Club Operations Coordinator is responsible for coordinating, organizing, directing, promoting, communicating and leading the activities, events, groups, clubs and classes for Ivory Ridge community. This includes the application of Ivory Ridge policies and governing documents regarding use of the facilities and communications to residents. The Club Operations Coordinator will be responsible for all communications to and from group leads to the GM and Board as needed, and to the community at large.
JOBDUTIES AND RESPONSIBILITIES
- Plan, schedule, and coordinate club activities and events, including entertainers, social events, classes, clubs, and special interest groups.
- Coordinate class schedules, instructors, programming calendars, and facility reservations.
- Coordinate club-related expenses, purchase requests, and financial reporting in collaboration with the General Manager.
- Coordinate facility maintenance needs, including cleaning, repairs, and equipment.
- Respond to membership inquiries and assist with maintaining membership records.
- Create and distribute communications (print, email, website), including flyers, tickets, and the Association newsletter.
- Coordinate and administer the Clubs website.
- Assist with onboarding of seasonal employees.
- Serve as liaison between the Board/HOA Management and the Club’s daily operations.
- Maintain event documentation and Association records, including required credentials, certifications, and insurance.
- Assist with event logistics as needed, including setup, breakdown, promotion, RSVPs, and event attendance.
- Respond to phone, email, and written inquiries from group leaders, homeowners, and Board members.
- Perform other duties and special projects as assigned.
- High School Diploma (or equivalent);
Associate’s Degree preferred - Ability to work independently and follow instructions with minimal supervision
- Proficiency in event and communications support – generally between 1-4 years, depending on the position level
- Ability to manage workflow amid shifting priorities
- Ability to meet deadlines and address time-sensitive issues
- Strong knowledge of Microsoft Outlook, Excel, Word, Publisher, Power Point, Constant Contact, PDF Editor Software, intermediate to advanced skills a plus
- Must be a team player who is committed to delivering high-level customer service
- Adaptable and dependable with a solid attendance record
- Professional and respectful demeanor with all internal and external customers at all times
- Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy
- Use standard office equipment, including: computer, phone, copier/scanner, etc.
- Be stationary for periods of time
- Relocate up to 25 pounds
- Possibly travel to and from offsite locations
- Not directly. However, at times the Club Operations Coordinator will collaborate with the General Manager regarding schedule preparation and directing the Clubhouse Receptionists in preparation for event setup and breakdown.
- Shifts will vary based on business need
- Required to work weekends and holidays
