The Operations Manager is a key leadership role responsible for driving operational excellence, process improvement, technology adoption, and human capital management across the firm. Reporting directly to the Chief Operating Officer (COO), this individual will ensure scalable operational infrastructure, exceptional client service delivery, and organizational readiness to support the firm's continued growth.
The ideal candidate is a proactive leader with strong operational expertise in the investment industry, exceptional organizational skills, and a passion for developing people and systems. This role requires the ability to think strategically while executing tactically, fostering collaboration across departments, and creating a culture of accountability, efficiency, and continuous improvement.
Key Responsibilities Operations Leadership- Maintain overall responsibility for daily operational accuracy and quality control.
- Develop, implement, and monitor procedures that reduce errors and improve consistency in client onboarding, account maintenance, transfers, trading support, and service delivery.
- Analyze, monitor, and optimize workflows, processes, and procedures across all office locations.
- Lead initiatives to improve operational efficiency, scalability, and service quality.
- Drive firm-wide adoption of digital tools and technology solutions to improve productivity and client experience.
- Partner with department leaders to identify operational challenges and implement effective solutions.
- Establish and maintain key performance indicators (KPIs) and operational reporting to monitor effectiveness and identify opportunities for improvement.
- Serve as a champion for maximizing the firm's CRM and operational technology stack.
- Oversee CRM data integrity, workflows, automation, reporting, and user adoption.
- Collaborate with leadership to develop technology solutions that improve client experience, communication, marketing effectiveness, and operational efficiency.
- Identify and implement process automation opportunities where appropriate.
- Coordinate the development and execution of service standards and deliverables designed to create exceptional client experience.
- Partner with advisory and service teams to maintain industry-leading client satisfaction and engagement.
- Analyze client feedback, service metrics, and survey results to identify opportunities for continuous improvement.
- Oversee human resources functions across all office locations.
- Lead onboarding processes and employee performance management programs.
- Conduct regular workforce planning, capacity analysis, and talent reviews to ensure staffing aligns with projected growth and business needs.
- Partner with the COO and leadership team to execute strategic initiatives and organizational priorities.
- Act as a change leader by successfully managing organizational change and driving adoption of new processes and technologies.
- Build strong relationships across departments and encourage collaboration toward common firm objectives.
- Bachelor's degree in Business Administration, Finance, Human Resources, Operations Management, or related field.
- 5+ years of leadership experience in operations, business management, or practice management, preferably within a Registered Investment Adviser (RIA), wealth management firm, or financial services organization.
- Demonstrated experience improving processes, systems, and operational efficiency.
- Strong knowledge of CRM systems, workflow management, and business process automation.
- Experience leading employee development, and performance management initiatives.
- Proven ability to manage multiple priorities and projects simultaneously.

Compensation Package- Job Type: Full-Time
- Base Salary: $110,000 - $130,000 based on experience in industry
