The Receptionist is the first point of contact for clients, partners, and visitors and plays an important role in setting the tone for the customer experience. This position supports front-office operations and assists internal teams to help ensure the office runs smoothly and professionally.
Key Responsibilities- Answer and direct incoming phone calls promptly, professionally, and courteously
- Greet clients and visitors and ensure a welcoming front-office experience
- Maintain a clean, organized reception area and shared office spaces
- Stock and refresh beverages and supplies in common areas
- Receive deliveries and manage incoming and outgoing mail and packages
- Label, prepare, and ship outgoing correspondence and materials
- Monitor office supply inventory and coordinate restocking as needed
- Perform general administrative tasks including filing, scanning, and copying
- Communicate clearly and proactively with coworkers, sales team members, and vendors
- Assist with organizing and setting up company events, meetings, and internal gatherings
- Provide light logistical support for customer-facing events (materials, signage, food, room setup, etc.)
- Support the Customer Experience and Marketing teams with event coordination and day-of logistics
- Help prepare welcome materials, branded items, and mailers for customers and partners
- Assist with maintaining an organized, professional office environment that reflects our brand and values
- Support special projects and administrative initiatives that enhance the overall customer experience
- Perform additional duties as assigned by management
- Bilingual in English and Spanish (verbal and written)
- 2–3 years of experience in a professional office environment
- Strong verbal and written communication skills
- Excellent organizational skills with the ability to multitask and prioritize
- Confident phone presence and customer-first mindset
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Comfortable using standard office equipment (computers, printers, phones)
- Dependable, punctual, and consistent attendance history
