Compensation

Position Summary & Responsibilities

The Senior Administrative Specialist (K0241123) is responsible for processing initial license applications, distributing annual license renewal reports, and tracking the return of those reports for all medical care facilities (i.e., hospitals, critical access hospitals, ambulatory surgery centers) and non-long-term-care entities (i.e., licensed-only and certified home health agencies). The role provides the initial license application packet for Home Health agencies and medical care facilities upon provider request, enters initial notification and application information into the specific database, creates state identification numbers, creates temporary operating permits for Home Health providers, issues license extension letters, sends documents quarterly, updates changes in administration or provider address information in the ACO/KOTA databases, creates new operating licenses, letters and labels for provider files, uploads provider attachments, assists management with KORA requests, maintains knowledge of Word, Excel, KOTA and ASPEN, prepares written reports, provides office support for projects, develops specific reports, prepares paper files, meets with certification staff, assists with telephone, bureau projects, document filing, mail distribution, provides licensure technical assistance to the public, surveyors, other agencies, and hospital and home health agencies regarding regulatory issues.

Qualifications

Licensing & Certification

  • Valid Driver's License – required to operate a state, private or rental vehicle for the benefit of the State.

Minimum Qualifications

  • One year of experience in general office, clerical and administrative support work.

Education may be substituted for experience as determined relevant by the agency.

  • High School, GED
  • Word, Excel, PowerPoint, Access
  • Proofreading, editing, attention to detail
  • Good verbal and written communication skills
  • Ability to focus on tasks and concentrate
  • Basic math skills
  • Create/modify formulas in Excel
  • Comfortable making independent decisions with a sense of good judgment
  • Ability to work in an organized and self-directed manner
  • Experience in clerical support in health care setting or regulatory office
  • Familiarity with survey, licensure, and/or certification process
