We guide veterans through the complex VA claims process with professionalism, compassion, and precision. Our team operates nationwide in a fully remote environment, united by a shared mission to serve those who served.

Position Overview

We are seeking a highly organized, tech-savvy, and proactive Administrative Specialist to join our remote team. This role is critical to ensuring the smooth handling of veteran disability cases and maintaining efficient internal workflows. The Administrative Specialist will handle communications and paperwork related to DRR:

SCs, RFAs, My Healthe Vet  assistance, and workflow management through our client portal, where all client communication and document sharing takes place.

The ideal candidate can think on their feet, solve problems independently, communicate clearly and confidently with clients, and maintain accuracy and consistency across all administrative processes.

Key Responsibilities
  • Prepare and submit Decision Review Request:
    Supplemental Claims (DRR:

    SCs) and Requests for Application (RFAs) to the VA.
  • Ensure all required documentation is accurate, complete, and submitted within VA deadlines.
  • Track and follow up on pending submissions as needed.
  • Prepare and submit other required VA forms or supplemental documents that arise throughout a veteran’s claim.
  • Ensure all supporting materials are accurate, properly formatted, and submitted in accordance with VA procedures and internal firm standards.
  • My Healthe Vet  Assistance
    • Assist veterans with signing up for My Healthe Vet  accounts.
    • Provide guidance on navigating the portal and accessing healthcare and benefits records.
Administrative Duties
  • Update internal trackers and maintain accurate case data in Clio, Airtable, and the client portal.
  • Manage and maintain workflows within the client portal, ensuring each stage of a client’s case is properly updated, assigned, and documented.
  • The client portal serves as the firm’s secure hub for client interaction — used to exchange messages, collect documents, monitor case progress, and ensure all communication remains organized and accessible.
  • Organize and archive client records and correspondence according to firm standards.
  • Communicate with legal support staff and attorneys to ensure administrative tasks are completed efficiently and accurately.
Client Support & Communication
  • Serve as a key point of contact for veterans who have questions about the VA claims process.
  • Provide clear, accurate, and client-friendly explanations about case status, documentation, and next steps.
  • Respond promptly and professionally to client inquiries while maintaining empathy and patience.
Problem Solving & Team Collaboration
  • Use sound judgment and common sense to resolve client and administrative issues.
  • Collaborate with attorneys and legal support staff to identify and address potential delays or documentation gaps.
Qualifications & Requirements
  • Previous experience in a client-facing administrative role is required.
  • Excellent written and verbal communication skills; able to explain complex information clearly.
  • Highly tech-savvy, with experience using platforms such as Slack, GoTo Connect, Clio, Airtable, and secure client portals (or similar systems).
  • Strong organizational skills with a sharp attention to detail.
  • Ability to manage multiple cases and deadlines simultaneously in a fast-paced environment.
  • Comfortable working independently and exercising initiative in a fully remote setting.
  • Must possess common sense, strong memory retention, and the ability to think critically and apply training effectively.
  • Prior knowledge of VA Disability Law or VA processes is a plus but not required — extensive training will be provided.
Compensation

Salary Range: $35,000 – $40,000 per year (DOE)

Compensation is commensurate with experience and aligned with internal pay scales for administrative roles.
