POSITION

SUMMARY

We’re building a solid team that takes pride in maintaining a variety of types of vacation homes in Truckee and North Lake Tahoe, California. Now, we’re seeking a reliable and dedicated Guest Services and Administrative Assistant who’s ready to assist with the day-to-day operations.

As a Guest Services and Administrative Assistant, you will be instrumental in keeping our office organized and our guests happy. Your responsibilities will span various operational areas, including guest communications, reservations, onboarding new properties, editing content, running errands, and administrative duties which include daily repetitive tasks, and bi monthly and bi annual projects, including but not limited to updating home books, advertising, scheduling seasonal maintenance, and assisting with Short Term Rental Permitting procedures.

You’ll be the bridge connecting different aspects of our operations. Your schedule will be 9am to 5pm, Thursday-Saturday, with 75% of your time spent in the office and the other 25% spent working in the field or from home once you’ve been fully trained and are comfortable in your position. During peak tourist season one Sunday shift per month from 8am-noon is required.

RESPONSIBILITIES
  • Oversee all aspects of guest services, including guest communications, reservations, and issue resolution, ensuring a high level of service and guest satisfaction.
  • Handle administrative duties, including performing a variety of repetitive tasks such as adding reservations, confirming contracts are signed, adding guest reviews to our website, updating signage, tracking project completion with spreadsheets, updating home books and online content.
  • Onboarding new properties, including building the online listings, staging homes, and creating the home book.
  • Conduct off-season inventory checks, manage supplies delivery, and ensure operational efficiency by acting as support for our field operations team when needed.
  • Act as the primary point of contact for guests, maintaining clear and helpful communication across all platforms and building strong relationships with guests and stakeholders.
QUALIFICATIONS
  • Self-starter and problem solver with the ability to identify tasks, follow through and create results.
  • Excellent customer service skills with a friendly demeanor, capable of providing high-quality service to guests.
  • Efficient in managing multiple tasks and projects with strong organizational and time management skills.
  • Excellent writing skills - able to write property descriptions, newsletters, and other communications with an eye for detail and grammar.
  • Proficient in Microsoft Office, quick to learn new technology, and adaptable to varying work schedules, including availability for on-call duties. Knowledge of Streamline VRS, Breezeway and Rubarue a plus.
  • Must possess a valid driver’s license, reliable 4WD vehicle, and laptop, with a willingness to perform both office-based and field duties, including physical tasks and property inspections. Must be able to lift 40 lbs.
COMPENSATION & BENEFITS

Hourly Wage: $26 - $28 based on experience
