Position OverviewThe primary focus of this role is to provide a wide range of administrative services for department managers. The assistant should have a high degree of situational awareness, technical proficiency, and the ability to work independently. The role requires proactive, flexible, and adaptable teamwork, often in a complex and demanding environment, while maintaining a professional attitude.
Responsibilities- Edit and format communications, presentations, proposals and reports
- Coordinate and schedule meetings and appointments, manage calendars, and provide general office support
- Assist with travel itineraries and arrangements
- Process expense reports, invoices and orders
- Serve as a back‑up to other office administrative staff
- Perform other administrative duties as required or assigned
- Associate or Bachelor’s degree preferred; equivalent experience considered
- At least one year of experience as an administrative assistant
- At least one year of meeting and event planning experience
- Highly flexible and able to work efficiently in a high‑volume, deadline‑driven environment
- Highly organized with exceptional time‑management skills
- Ability to prioritize and work effectively under pressure in a fast‑paced environment, sometimes with minimal guidance
- Skilled in computer applications for word processing, spreadsheets, databases, internet navigation, e‑mail and calendars
- Proficient with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and able to learn new programs and processes
- Work productively and meet deadlines in a timely manner
- Communicate and interact effectively and professionally with supervisors, employees, and others in a team environment
- Perform work safely and effectively; understand and follow oral and written instructions, including warning signs and equipment use policies
- Work during normal operating hours to organize and complete work within given deadlines; keep open for overtime and weekends as required
- May work at various locations; conditions may vary
