We are seeking a dynamic and highly organized Executive Assistant to provide exceptional administrative support to our executive team. This role is vital in ensuring smooth daily operations, managing complex schedules, and facilitating effective communication across departments. The ideal candidate will demonstrate proactive problem-solving, excellent organizational skills, and a positive attitude to help drive our company's success forward. Key Responsibilities
  • Answer and direct incoming phone calls professionally
  • Greet visitors, vendors, drivers, and employees
  • Provide basic customer service and answer general questions about the company, services, and operations
  • Communicate professionally with customers, clients, and vendors both in person and over the phone
  • Reconcile labor records, employee hours, and department transfer logs
  • Maintain accurate spreadsheets, reports, and operational records
  • Assist with tracking attendance and labor allocation information
  • Support production and operations teams with administrative coordination
  • Enter, update, and verify data within company systems
  • Coordinate communication between departments and leadership teams
  • Assist with filing, scanning, scheduling, and other general office duties
  • Maintain cleanliness and organization of shared office and breakroom areas, including coffee and microwave stations
  • Restock office supplies, coffee, and breakroom items as needed
  • Monitor office supply inventory and communicate restocking needs
  • Handle confidential company information with professionalism and discretion
  • Support additional administrative projects and operational tasks as assigned
Qualifications
  • Previous administrative, office support, manufacturing, or customer service experience preferred
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • High attention to detail and accuracy
  • Ability to work independently and prioritize responsibilities effectively
  • Proficiency in Microsoft Office, including Excel and Outlook
  • Experience working with reporting systems, timekeeping systems, or production records is a plus
