Starting Wage: $16.00 per hour

Position Summary

The Osage County Treasurer's Office is seeking a motivated, detail-oriented individual to join our team as a Motor Vehicle Clerk
. This position is responsible for performing a variety of accounting, clerical, customer service, and motor vehicle title and registration functions. The successful candidate will ensure the accurate processing of motor vehicle transactions while maintaining compliance with Kansas statutes, regulations, and departmental procedures.

This position requires exceptional organizational skills, strong attention to detail, and the ability to provide courteous and professional service to the public.

Essential Duties and Responsibilities

The responsibilities listed below are representation of the duties performed in this position and are not intended to be all-inclusive.

  • Receive, process, and accurately account for motor vehicle registration payments.
  • Process a variety of motor vehicle transactions, including but not limited to:
    • Original title applications
    • Vehicle registrations and renewals
    • Title and tag transfers
    • Replacement license plates and decals
    • Lost or stolen plate replacements
    • Personalized license plate applications and exchanges
    • Disabled license plates and placards
    • Temporary permits
    • Secured title applications
    • Special license plate applications
    • Repossessed vehicle titles
    • Lien processing
    • Decedent affidavits
    • Specially constructed vehicle titles
  • Process refund applications for qualifying customers who sell or dispose of a vehicle before registration expiration.
  • Answer incoming telephone calls and respond to customer inquiries in a courteous and professional manner.
  • Return phone messages promptly.
  • Balance and reconcile an individual cash drawer daily.
  • Verify that all applicable personal property taxes have been paid prior to processing motor vehicle transactions.
  • Perform additional clerical, accounting, and administrative duties as assigned.
  • Maintain a professional, respectful, and positive work environment through effective communication with customers, coworkers, management, and the public.
  • Demonstrate professionalism, reliability, accountability, and a cooperative attitude in all interactions.
  • Exercise sound judgment and maintain composure during high-volume or challenging customer service situations.
  • Maintain regular, dependable attendance and punctuality.
Additional Responsibilities

As needed, the Motor Vehicle Clerk may:

  • Assist with departmental duties as assigned by the Motor Vehicle Supervisor or Treasurer.
  • Attend job-related training, educational programs, or seminars.
  • Provide backup support for Cash, Reports, and Mail functions.
Cash Responsibilities
  • Balance daily receipts against individual reports and the motor vehicle system.
  • Balance sales tax collections.
  • Process monthly sales tax reporting to the State of Kansas.
  • Complete the initial title verification process.
Minimum Qualifications Experience
  • Minimum of two (2) years of general office or clerical experience.
  • Clerical work, accounting, cash handling, and data entry is preferred.
Education
  • High school diploma, GED, or equivalent required.
Knowledge
  • Ability to learn and apply Kansas motor vehicle statutes, regulations, and Treasurer's Office procedures.
  • Working knowledge of basic accounting principles and office practices.
  • Ability to understand and follow written and verbal instructions.
  • Strong English reading, writing, and verbal communication skills. Bilingual abilities are a plus.
Skills
  • Proficient in the operation of computers, calculators, copy machines, and other standard office equipment.
  • Strong data entry, organizational, and customer service skills.
  • Ability to maintain accuracy while managing multiple tasks.
Problem Solving
  • Ability to analyze routine situations and resolve practical problems using established procedures and sound judgment.
Decision Making
  • Responsibilities require adherence to policies established by the State of Kansas, the Motor Vehicle Supervisor, and the County Treasurer.
  • Responsible for the accurate handling and reconciliation of public funds.
  • No budgetary responsibilities.
Employment Requirements
  • Successful completion of a criminal background check is required prior to employment.
  • This position is performed entirely on-site and is not eligible for remote work or telecommuting
