This position reports directly to the Controller
.
- Accounts Receivable & Billing
- Prepare monthly draft invoices and reconcile billing against project and vendor documentation
- Assist in construction-specific billing, including reviewing and approving job related entries, processing of monthly client invoices and tracking retainage
- Sends statements and make collections calls as instructed
- Operational Coordination
- Act as a liaison between Project Managers, field teams, and administrative staff
- Coordinate project paperwork, invoices, and supporting documentation to ensure accuracy and completeness
- Financial Support
- Assist the Controller with chart-of-accounts maintenance
- Support preparation of monthly financial statements and internal reports
- Office & Administrative Management
- Handle professional correspondence (phone and email)
- Perform data entry, filing, and general administrative support
- Accounting & Software Experience
- 3+ years of hands-on bookkeeping or accounting software experience required
- (e.g., Quick Books, MAS 90 / Sage, SAP, Peachtree, or similar ERP/accounting systems)
- 2+ years of Microsoft Office Suite with intermediate Microsoft Excel experience preferred
- Experience with Net Suite, Shepherd, or other ERP systems is a strong plus
- Education:
College degree preferred (Accounting or related field), or equivalent professional experience - Compliance & Physical Requirements
- Ability to pass a criminal background check and drug screening in accordance with the Massachusetts Fair Chance Act
- Ability to manage office materials and files, with occasional lifting of up to 20 lbs
