Position: Department Assistant, 32 hrs, Days

Position Overview

Department Assistant – UMass Memorial Health. Exemption Status:
Non‑Exempt. Hiring Range: $16.54 – $29.76 per hour (final offer may vary based on experience, qualifications, internal equity). This is an internal caregiver, student, or contingent worker/agency worker position. Signing bonus may be available; eligibility confirmed during interview.

Schedule

Mandated by mandatory scheduling:
Holidays – every other mandatory holiday, Monday‑through‑Friday;
Weekends – all weekends. Scheduled

Hours:

Monday‑Friday – two 8‑hour shifts and two 12‑hour shifts (8:00‑8:00 and 8:00‑4:30). Weekends and holidays – 8:45‑5:15. Notable shift: 1 – Day Shift, 8 hours (United States of America).

Responsibilities
  • Coordinate a variety of administrative assignments under the direction of department management, ensuring timely processing and documentation.
  • Maintain databases and spreadsheets, reconciling data to ensure accuracy and completeness, and research/resolving information gaps.
  • Provide administrative support for the department and related projects, including arranging meetings, producing correspondence and reports, and routine clerical duties (phone calls, messages, ordering, copying, filing, faxing, mail distribution).
  • Act as subject‑matter expert for department policies and procedures as needed.
  • Ensure adequate inventory of office supplies, basic maintenance of office equipment, and timely repair/maintenance of desktops, printers, and associated electronics.
  • Assist with orientation of new department members.
Qualifications
  • Must hold a high‑school diploma or equivalent (Associate’s degree preferred).
  • Minimum two (2) years of related department administration experience.
  • Strong written and verbal communication skills.
  • Demonstrated analytical, problem‑solving, and documentation abilities.
  • Experience with database software.
  • Proficiency in standard computer software packages and applications.
  • Knowledge of medical terminology (preferred).
