Job Summary

The Administrative Associate is a temporary, hourly position that assists the Admissions Office primarily by reviewing applications submitted through the American Association of Colleges of Osteopathic Medicine Application Service (AACOMAS). This position reviews applications using established guidelines to help identify whether applicants meet basic admissions requirements and competitive standards to be considered for admission to the Doctor of Osteopathic Medicine (D.O.) Program.

The position also provides administrative support to the Admissions Office and assists with routine office operations as needed. This is a part-time, non-classified position that is non-exempt from the Fair Labor Standards Act (FLSA) regulations concerning overtime. The minimum hourly rate for this position is $16.00 per hour without fringe benefits. The employee may work up to 1,040 hours per academic year (July 1 through June 30).

The work schedule for this position will be established by the employee and the Interim Director of Admissions, who serves as the supervisor, and approved based on the operational needs of the department and the institution. WVSOM is an Equal Opportunity Employer.

Skills Required
- Minimum Qualifications High school diploma or GED required. Strong attention to detail and organizational skills. Basic computer skills, including experience using Microsoft Office and web-based applications. Ability to read, interpret, and evaluate written information accurately. Ability to maintain confidentiality and exercise good judgment. Ability to work independently and manage assigned workload. Ability to communicate effectively, both verbally and in writing.

Preferred Qualifications Experience in an office, administrative, customer service, or educational setting. Experience reviewing documents or entering data. Familiarity with higher education or admissions processes is helpful but not required. Experience working with confidential or sensitive information.

Duties and Responsibilities

Review assigned AACOMAS applications using established review guidelines that include verifying completion of required prerequisite coursework, letters of recommendations, academic performance, and health care, community service, leadership, research, and other experiences that demonstrate alignment with WVSOM's mission and admissions standards. Record application review evaluations and comments in the admissions system accurately and consistently while maintaining established review timelines, quality standards, and productivity expectations.

Provide backup support to the Admissions Office by answering and triaging incoming phone calls and emails, directing inquiries to the appropriate staff member when needed. Assist with routine admissions office tasks, including data entry, filing, document processing, and other administrative duties as assigned. Complete required training and adhere to institutional policies and procedures regarding confidentiality of applicant information and admissions materials.
