The Idaho Division of Veterans Services (IDVS) is recruiting for a full-time Technical Records Specialist 1 position (Ward Clerk) to support the Lewiston Veterans Home.
The ideal candidates will be proactive, professional, and self-motivated, possessing exceptional customer service and organizational skills, pays attention to detail and has some financial office experience. Responsibilities:
- Maintain accurate and organized resident medical records and charts.
- Review physician orders and medical records for completeness and required signatures.
- Enter physician orders, vital signs, weights, admissions, discharges, and other resident information into clinical software.
- Prepare medical records and required paperwork for new admissions, appointments, transfers, and discharges.
- Track laboratory orders, X-rays, results, and other resident medical information to ensure timely follow-up.
- Maintain resident appointment and transportation calendars and assist with coordinating appointments.
- Maintain unit spreadsheets, resident rosters, infection-control records, and other required tracking documents.
- Print and prepare medication sheets, treatment sheets, physician orders, and other clinical documentation.
- File reports, laboratory results, and other medical documentation accurately and promptly.
- Answer multiple phone lines and greet and assist residents, visitors, staff, and outside providers.
- Communicate with nursing staff, other facility departments, the VA, and outside healthcare facilities regarding resident appointments and records.
- Maintain nursing-station forms and office supplies.
- Enter and maintain staff in-service/training information and assist with required reports.
- Handle confidential resident and medical information in accordance with facility policies and privacy requirements.
- Provide general clerical and administrative support to the nursing unit.
- Perform other related duties as assigned.
Minimum Qualifications:
- Provide clerical or administrative support in a healthcare, medical, or long-term care setting.
- Maintain confidential records, medical charts, or other detailed documentation.
- Data entry and electronic medical record (EMR/EHR) or similar computer systems.
- Provide customer service, answering multi-line phones, and assisting staff, residents, and visitors.
- Coordinate appointments, maintaining calendars, filing records, and managing multiple priorities in a busy work environment.
Experience:
- Monitoring a records system to identify and correct errors.
- Researching a variety of sources to resolve problems.
- Interpreting, explaining, and applying regulations, laws, or complex policies to carry out assignments.
- Entering and retrieving data using a computerized records system.
Some knowledge of:
- Medical terminology and the general benefits of Medicaid, Medicare, and major insurance companies.
- Financial record keeping.
Experience:
- Using spreadsheet software; storing, retrieving, and compiling information in a report format using data base software.
- Working with sensitive or restricted data.
- Using MS Excel and MS Access software.
