Job Overview
SC/VB Assistant Clerk (Limited Term) – State of Maine Judicial Branch, Service Center/Violations Bureau, Lewiston. This is a fund‑dependent position. The role involves high‑volume clerical work in a call center, collection agency, and court setting, with responsibility for customer service, data entry, docketing, and courtroom support.
SalaryGrade 9: $20.99 to $28.39 per hour. Starting pay $20.99 – $22.06 per hour. 2% increase after July 1, 2026.

- Communicate and interact effectively over the telephone, in person and in writing with the public, judges, attorneys, litigants, and various state, local, county, and federal agencies.
- Efficiently answer incoming phone calls for the trial courts, Violations Bureau and Administrative Office of the Courts, while performing all other required duties.
- Use the court case management systems (MEJIS and Enterprise Justice), Service Center knowledge bank, Judicial Branch website, intranet, and other sources of information to fully respond to public inquiries.
- Maintain coverage for all incoming lines using the telephone system, Brightmetrics, and Call Tracker software, managing and resolving a high volume of calls within target time frames, and transferring calls to other court locations when necessary.
- Collaborate with court staff to clarify information and provide accurate information to callers.
- Conduct records research in the court case management systems.
- Use computer applications, including document sharing tools such as Teams, docketing, file management, One Drive, etc.
- Prepare juror correspondence, coordinate with the Bureau of Motor Vehicles to solicit names for potential jurors, prepare jury lists, maintain mailing supplies, send questionnaires to prospective jurors, and update juror records when mailings are returned undeliverable.
- Serve as courtroom clerk and perform duties as required by the judge, including technical support, managing court recording equipment, Zoom trials, and all other types of remote courtroom proceedings assigned to the Violations Bureau.
- Process high volumes of data entry, docketing, mail, and collection of revenue paid to or through the Service Center/Violations Bureau, and maintain books, ledgers and accounts as necessary.
- Handle court scheduling, including hearings, motions and other correspondence.
- Prepare abstracts, suspensions, and restorations for the Secretary of State and reports for the Administrative Office of the Courts, Chief Judge, and other agencies as directed.
- Maintain professional knowledge and stay current on changing forms and court procedures.
- High school diploma or GED.
- Experience providing customer service and/or clerical work and/or office administration required.
- Experience responding to customer inquiries using various software and databases preferred.
- Typing speed of at least 45 words per minute.
- Strong attention to detail, accuracy, and ability to meet daily deadlines both individually and as part of a team.
- Excellent customer service skills, ability to remain calm in stressful situations, and professionalism.
- Basic mathematical functions, multitasking, and ability to follow oral and written instructions.
- Basic writing, spelling, and grammatical skills.
- Ability to learn detailed computer applications and use office equipment such as computers, calculators, copy machines, postage machines, fax machines, folding machines, cash drawers, and credit card readers.
