Job Summary
The Nursing Administrative Coordinator DYP supports the Director of Nursing and requires a strong emphasis on staffing management and financial oversight of staffing. This role also requires administrative operations support, and oversight of Unit Secretarial administrative projects.
Essential Duties and Responsibilities- Supports and promotes the mission and values of Covenant Health Ministry.
- Maintains all required competencies and completes annual compliance courses on time.

- Other duties as consistent with this role.
- Assist with the planning, execution, and monitoring of various projects such as the provider recertification list which is a regulatory requirement. This requires support and education for the Unit Secretaries in this process.
- Track project progress, prepare reports, and ensure timely completion of deliverables such as financials related to staffing, agency utilization, etc.
- Collaborate with leaders to gather updates and provide necessary support such to Admissions, Discharge Offices, and Nurse Unit Managers to manage staffing accordingly.
- Assist in tracking project timelines, deliverables, and budgets as required. Examples include tracking for a decrease in unit agency fte’s as comparable data from month to month, etc.
- Coordinates for any automated scheduling systems, as applicable.
- Manages schedules for all nursing staff for a 210-bed facility. This includes house staff, agency staff, and travel staff. This also includes having knowledge of schedules of other departments, as necessary.
- Ensures daily staffing meets CMS and Maine State Minimum Staffing Requirements.
- Manages completion of payroll timely and accurately.
- Reports staffing for Payroll Based Journal as required by CMS.
- Scheduling requires excellent Excel capabilities as our scheduling is a manual process.
- Maintain organized filing systems for easy access to important information.
- Support the development and implementation of office procedures to enhance operational efficiency.
- Obtains and manages immunization records and education of all agency and contract staff.
- Reviews all agency and travel invoices for accuracy.
- Works with EX to maintain updated list of agency and contract staffing.
- Strong proficiency in software and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills with a customer-service-oriented approach.
- Ability to prioritize tasks effectively, manage time efficiently, and maintain confidentiality.
- Strong problem-solving skills and a keen attention to detail.
- Associate degree preferred but not required.
- Experience will be considered in place of education.
- Previous staffing scheduling and payroll experience required.
- Must be able to multitask and prioritize effectively.
- Independent decision-making and able to make decisions under pressure.
- Works collaboratively with others.
$21.55 - $29.68
