Office Administrator/ Coordinator
Position Summary
The Rental Coordinator reports to the Rental Manager and is located in Lewisville, TX. This full‑time, hybrid position involves managing equipment leasing activities such as processing lease orders, coordinating equipment deliveries, and maintaining contract accuracy.
Essential Functions & Responsibilities- Process rental orders accurately and efficiently.
- Communicate with sales team to confirm order details, delivery schedules, and rental needs.
- Update and maintain order information in company systems.
- Provide friendly and professional support to internal teams, responding to inquiries and resolving issues promptly.
- Track rental equipment availability, coordinate deliveries and returns, and inspect returned equipment.
- Prepare and maintain rental agreements and related documentation, ensuring accurate data entry.
- Support general administrative and operational tasks.
- Collaborate with sales, logistics, and customer support teams; participate in meetings and contribute ideas for process improvements.
- Assist with special projects as needed.
- Strong communication and customer service skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Positive attitude and willingness to learn.
- Team‑oriented with the ability to work independently when needed.
- Basic problem‑solving and critical‑thinking skills.
- High school diploma or equivalent required; associate degree preferred.
- Previous customer service, administrative, coordinator, or office experience preferred but not required.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience with Auto Quotes, Smartsheet, or similar software is a plus; training will be provided.
- Ability to successfully pass a background check following offer acceptance.
Compensation includes a posted base salary range and potential commission, incentive, bonus, or other additional compensation opportunities. Total compensation is determined based on experience, skills, internal equity, geographic location, and other job‑related compensatory factors.
