Outage Coordinator

Location: Lewisville, TX
Employment Type: Full-Time
Hours: 40 Hours per Week (Overtime during outage season)
Travel: Up to 50% Travel Required

Overview

We are seeking a highly organized and customer-focused Outage Coordinator to support the planning, coordination, and execution of industrial shutdowns, turnarounds, and outage projects. This role serves as a key liaison between customers, contractors, technicians, and internal teams to ensure projects are completed safely, efficiently, and with a high level of customer satisfaction.

This position is ideal for someone with project coordination, operations, maintenance, field service, or industrial support experience who enjoys working in a fast-paced environment, managing multiple priorities, and collaborating with cross-functional teams. While project management experience is valuable, this role is focused more on coordination, communication, scheduling, and execution support rather than formal project management.

Key Responsibilities Project & Outage Coordination
  • Serve as a primary point of contact for customers, contractors, and internal teams during outage and maintenance events
  • Coordinate project schedules, pre-outage meetings, and site walkdowns
  • Assist in defining project scope and gathering information needed for quotations and execution planning
  • Track project milestones, schedules, and action items to support successful outage execution
  • Communicate schedule updates, changes, and project status to all stakeholders
Documentation & Administrative Support
  • Prepare and maintain project documentation including:
    • Quotes
    • Change orders
    • Cost tracking reports
    • Time sheets
    • Inspection and service reports
    • Final project documentation packages
  • Ensure all paperwork is completed accurately and submitted on time
  • Assist with invoice review and reconciliation activities
  • Support project closeout documentation and customer deliverables
Customer & Team Support
  • Build strong working relationships with customers, contractors, technicians, and internal teams
  • Help resolve project issues and coordinate resources to support customer needs
  • Participate in post-project reviews and planning activities
  • Support business development efforts by identifying opportunities for additional services or repairs during outage events
Safety & Compliance
  • Promote and support a strong safety culture on all projects
  • Follow company, customer, and site-specific safety requirements
  • Support compliance with Lockout/Tagout (LOTO) procedures and other safety programs
  • Ensure proper documentation and adherence to operational standards
Qualifications
  • Associate degree preferred or equivalent work experience
  • Minimum 2 years of experience in project coordination, operations, maintenance, field service, scheduling, or related industrial environments
  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
  • Ability to work independently and proactively manage responsibilities
  • Strong problem-solving skills and attention to detail
  • Proficiency with Microsoft Office, including Excel and Word
  • Valid driver's license and ability to travel as required
Preferred Experience
  • Experience supporting industrial, manufacturing, power generation, refining, chemical, oil & gas, or maintenance operations
  • Experience coordinating shutdowns, turnarounds, outages, maintenance projects, or field service work
  • Experience with scheduling, budgeting, cost tracking, or project documentation
  • Customer-facing experience within technical or industrial environments
Work Environment
  • Combination of office, customer site, and industrial plant environments
  • Up to 50% travel, including overnight travel and occasional weekends
  • Exposure to outdoor environments and industrial facilities
  • Fast-paced role requiring strong organization, flexibility, and customer focus
Physical Requirements
  • Ability to stand and walk for extended periods
  • Ability to climb stairs and ladders as needed
  • Ability to work outdoors in varying weather conditions
  • Ability to wear required personal protective equipment (PPE)
  • Ability to lift up to 50 pounds
  • Comfortable working in industrial environments and at elevated heights
