Job Description

Position Summary:

The Grant Specialist supports the implementation, monitoring, and compliance of federally funded grant programs, including the Charter Schools Program (CSP). The role works closely with the Senior Grant Manager and Project Director to ensure grant activities, budgets, and reporting requirements are executed in accordance with federal and state regulations.

Education, Certification, and Experience

Required: Bachelor’s degree in Finance, Accounting, Education, Business, or related field.

Preferred:

  • Experience supporting federal or state grant programs such as Charter School Programs (CSP)
  • Experience in K‑12 education, charter schools, or nonprofit organizations
  • 2 – 4 years of experience in grant administration, finance, project management, or compliance
Duties and Responsibilities

Grant Implementation Support

  • Assist with the implementation of CSP grant funded initiatives
  • Track grant activities, milestones, and deliverables to ensure timely completion
  • Maintain documentation of grant activities, communications, and program progress

Budget Monitoring

  • Track expenditures to ensure alignment with approved budgets and allowable cost guidelines
  • Assist in preparing and monitoring grant budgets
  • Coordinate with finance teams to monitor spending and support budget reconciliation

Compliance and Documentation

  • Maintain organized records of grant documentation for compliance and audit readiness
  • Support adherence to federal and state grant requirements, including Uniform Guidance (2 CFR Part 200)
  • Assist with the preparation of required reports, performance updates, and supporting documentation

Reporting and Data Tracking

  • Collect and organize program data needed for grant reporting
  • Assist with preparing internal updates and reports for leadership
  • Track performance indicators associated with grant funded initiatives

Cross-Department Coordination

  • Coordinate with internal departments including finance, academics, and operations to support grant implementation
  • Communicate grant requirements, timelines, and documentation needs to relevant teams
  • Identify external partners or support agencies when appropriate

Professional Development

  • Participate in federal and state trainings related to grant administration, compliance, and program implementation
  • Stay informed on relevant policies and best practices in grant management
Knowledge / Skills
  • Strong organizational and project management skills
  • Ability to manage multiple priorities and deadlines
  • Understanding of grant administration principles and financial monitoring
  • Familiarity with federal grant regulations or willingness to learn
  • Strong written and verbal communication skills
  • Analytical skills to review financial and program data
  • Ability to collaborate effectively across departments
Equipment Used & Other Requirements
  • Standard office equipment including computer, printer, scanner, and copier
  • Software applications such as Microsoft Office Suite (Excel, Word, PowerPoint), Google Workspace (Docs, Sheets, Drive), financial or grant management systems, virtual meeting platforms (Zoom, Google Meet)
Physical / Environmental Factors
  • Ability to perform standard office functions including sitting, standing, and using computer equipment

Travel Requirement
  • District and statewide travel may be required (up to 25%)
