We're seeking a highly organized, proactive Executive Assistant who thrives in a fast-paced professional environment and enjoys supporting executive leadership while helping the entire office operate efficiently.

Position Summary

The Executive Assistant provides high-level administrative support to the firm's Managing Partner and leadership team. This role serves as a trusted partner, managing schedules, coordinating communications, organizing projects, and ensuring the day-to-day administrative operations of the firm run smoothly. The ideal candidate is detail-oriented, discreet, resourceful, and capable of managing multiple priorities with professionalism.

Key Responsibilities

  • Manage complex calendars, appointments, and meeting schedules for firm leadership.
  • Coordinate internal meetings, partner meetings, and client appointments.
  • Prepare correspondence, reports, presentations, and other business documents.
  • Screen and prioritize emails, phone calls, and other communications.
  • Coordinate travel arrangements, conference registrations, and expense reporting.
  • Organize firm events, training sessions, and client appreciation activities.
  • Assist with project management by tracking deadlines and following up on action items.
  • Maintain confidential records and sensitive business information with the highest level of discretion.
  • Support onboarding activities and administrative functions for new employees.
  • Assist with office operations, vendor relationships, supplies, and facilities coordination.
  • Help improve administrative processes and identify opportunities for increased efficiency.
  • Provide additional administrative support to partners and managers as needed.

Qualifications

  • 5+ years of executive or senior administrative support experience, preferably in a professional services, accounting, legal, or financial environment.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • High level of professionalism, discretion, and confidentiality.
  • Advanced proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Experience with Microsoft Teams and other collaboration tools.
  • Ability to prioritize competing demands while maintaining accuracy and attention to detail.
  • Strong problem-solving skills and initiative.
  • Associate's or Bachelor's degree preferred but not required with relevant experience.

Preferred Qualifications

  • Experience supporting executives or partners in a CPA or professional services firm.
  • Familiarity with accounting practice management or CRM software.
  • Event planning or project coordination experience.
