Elliot is a full‑service electrical contractor specializing in overhead and underground distribution, transmission, substations, lighting, traffic signaling, utility locating and industrial/commercial services.

Elliot is seeking a highly organized, detail‑oriented professional to join our growing Contract Administration team, ensuring accuracy and compliance across multiple business lines. As a Contract Administration Associate, you will play a crucial role in supporting essential operational tasks, strengthening workflow efficiency, and maintaining the high standards expected of our department.

Key Responsibilities Subcontract Execution & Support
  • Assist with subcontractor and vendor onboarding.
  • Support the processing of a variety of contract‑related documents, ensuring accuracy and compliance with company policies and regulatory requirements.
  • Help oversee the lifecycle of subcontracts and related business agreements—from initial drafting and negotiation support to execution and renewal.
  • Contribute to minimizing organizational risk through accurate document handling and adherence to procedural standards.
Recordkeeping & Database Management
  • Maintain subcontractor and vendor records, including prequalification documentation and updates.
  • Manage administrative records for subcontractors, vendors, and prequalification files with precision and consistency.
Project Coordination
  • Manage multiple subcontractor agreements simultaneously while fielding requests from Operations.
  • Prioritize and adapt to shifting timelines, maintaining efficiency in a dynamic environment.
Document Control & Organization
  • Maintain detailed records, track deadlines, and update databases to ensure seamless document retrieval and accurate reporting.
Collaboration & Communication
  • Work closely with Operations, Legal, Finance, and other teams to ensure alignment and accurate information sharing.
  • Provide clear, professional communication to both internal stakeholders and external partners.
Who We’re Looking For Education & Experience
  • A business degree, certificate, or equivalent is beneficial but not required.
  • Experience in administrative support, contract administration, or documentation‑heavy roles is preferred.
Technical Skills
  • Proficiency in Microsoft Office (especially Excel) and Adobe applications is essential.
  • Ability to quickly learn and navigate digital record systems, workflows, and databases.
Attention to Detail
  • Strong accuracy in data entry, document review, and record maintenance.
  • Ability to identify missing information, inconsistencies, or errors.
Time Management & Organization
  • Capable of prioritizing multiple tasks with strong follow‑through.
  • Comfortable working in a fast‑paced environment with changing demands.
Communication Skills
  • Strong written and verbal communication abilities.
  • Able to interact professionally and effectively with internal teams and external partners.
Position Details
  • The Contract Administration Associate is a full‑time, 40‑hours‑per‑week hourly position.
  • The anticipated work schedule is Monday through Friday, 8:00 AM to 5:00 PM.
  • This role is not remote or hybrid and is an in‑person role based at our office.
