Status: Full-Time, Exempt
Salary - $40,000- $50,000
Position SummaryThe Administrative Operations Manager serves as a key operational support role for Kentucky REALTORS®. This position ensures the smooth day-to-day functioning of the office while providing cross-departmental coordination across Education, Events, Advocacy, and Member Services.
This role is ideal for a highly organized, proactive professional who thrives in a collaborative environment and enjoys balancing administrative leadership with hands-on operational support. The Administrative Operations Manager plays an important role in ensuring meetings, events, and internal processes run efficiently and professionally.
Key Responsibilities Office & Administrative Operations- Oversee daily office operations to ensure efficiency, organization, and responsiveness.
- Maintain organized filing systems, records, and association documentation.
- Coordinate with the third-party accounting firm to ensure receipts and supporting documentation are submitted accurately and on time.
- Manage vendor relationships, office supplies, and facility-related needs.
- Serve as the primary internal resource for general office operations and administrative processes.
- Provide administrative and logistical coordination across departments, including Education, Events, Advocacy, and Member Services.
- Support planning and execution of board meetings, committee meetings, and organizational events.
- Prepare agendas, capture meeting minutes as needed, and track follow-up action items.
- Coordinate meeting logistics including scheduling, room setup, catering, materials, and audiovisual needs.
- Maintain operational systems that support strong communication and collaboration across teams.
- Monitor and respond to the association’s general email inbox and phone lines.
- Serve as a professional and responsive point of contact for member inquiries.
- Support communication between KYR and local associations.
- Draft and distribute meeting notices, internal updates, and general correspondence.
- Assist members with general inquiries and route requests appropriately.
- Support the Director of Events with event logistics and coordination.
- Utilize member software systems to support registration, tracking, and reporting.
- Provide administrative support to the Professional Development Committee and related education programming.
- Help ensure seamless execution of member programs and association events.
- Associate or bachelor’s degree preferred.
- 3–5 years of experience in office management, operations coordination, administrative leadership, or a similar role.
- Strong proficiency in Microsoft Office Suite; experience with CRM or AMS systems preferred.
- Excellent organizational, communication, and time management skills.
- Ability to manage multiple priorities and work independently while collaborating across teams.
- Strong customer service mindset with a collaborative, service-oriented approach.
- Experience in a nonprofit, association, or membership-based organization is a plus.
- This position is based in the Kentucky REALTORS® office in Lexington, KY, with occasional travel required for meetings and events.
