Based Agency is searching for an executive assistant to join the local growing team in our Lexington, KY office. This in‑person role requires a highly organized, reliable, and detail‑oriented individual who can keep the business running smoothly day to day.

Overview

We are looking for a full‑time Administrative Assistant who can manage day‑to‑day administrative tasks, scheduling, communication, client follow‑ups, organization, documentation, and general office support. If you are proactive, professional, quick to learn, and enjoy helping a fast‑moving team stay organized, we want to hear from you.

Responsibilities
  • Assist with day‑to‑day administrative tasks for the team.
  • Manage scheduling, calendar coordination, meeting reminders, and internal follow‑ups.
  • Help organize client information, documents, forms, onboarding materials, and internal records.
  • Support the team with email communication, task tracking, and basic client coordination.
  • Prepare documents, reports, notes, checklists, and other internal materials as needed.
  • Keep internal systems, spreadsheets, and project management tools organized and up to date.
  • Coordinate office‑related tasks, supplies, errands, and general operational needs.
  • Follow up with team members to ensure tasks, deadlines, and client items are moving forward.
  • Assist with onboarding new clients by gathering required information and assets.
  • Maintain confidentiality with sensitive client, company, and financial information.
  • Proactively identify small problems, missing details, or disorganization before they become bigger issues.
  • Support leadership with miscellaneous tasks, research, communication, and organization as needed.
Requirements
  • Must be local and able to work full‑time in person at our office.
  • Comfortable with being part of the social content strategy and talking in videos.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Comfortable using email, spreadsheets, Google Drive, calendars, and basic business tools.
  • Ability to manage multiple tasks, deadlines, and priorities at once.
  • Professional, dependable, and punctual.
  • Proactive mindset with the ability to take initiative without needing constant direction.
  • Comfortable working in a fast‑paced small business environment.
  • Strong problem‑solving skills and willingness to learn new systems.
  • Native or bilingual English speaker preferred.
  • Legally eligible to work in the United States.
  • Able to keep sensitive client and company information confidential.
Preferred (but not required)
  • Previous experience as an administrative assistant, executive assistant, office assistant, receptionist, or operations assistant.
  • Experience working in a marketing agency, service business, or small business environment.
  • Familiarity with tools like Google Workspace, Click Up, Slack, CRM systems, or project management software.
  • Basic understanding of marketing, websites, advertising, or client service.
  • Experience communicating with clients, vendors, or business owners.
  • Comfortable helping with light research, basic reporting, and internal documentation.
