Operations Coordinator, Residential Construction

Job Type: Full-time
Schedule: Monday–Friday, 8:30 a.m.–5:00 p.m.

About the Role

The Residential Operations Coordinator supports the day-to-day coordination and administrative needs of residential construction and remodeling operations. This role helps keep projects organized, timelines visible, records accurate, and internal teams informed.

The ideal candidate is detail-oriented, highly organized, comfortable with technology, and able to manage multiple priorities while supporting a collaborative team environment. This person is dependable, proactive, and comfortable with keeping details moving behind the scenes. This person enjoys organizing information, following up on outstanding items, working with internal teams and outside vendors, and helping ensure construction and remodeling operations run smoothly.

Key Responsibilities Analytics and Reporting
  • Prepare weekly reports tracking performance against scheduled deadlines and checkpoints.
  • Monitor and report on client satisfaction, current workloads, and year-over-year activity comparisons.
  • Provide accurate operational summaries to help leadership identify priorities, trends, and areas needing attention.
Compliance
  • Monitor the current status of Builders Risk insurance, licenses, vendor certificates of insurance, and related compliance documents.
  • Track general contractor license requirements across active construction municipalities.
  • Support documentation of BMP adherence and required builder records for each residential construction site.
  • Upload approved plan sets and required documentation to various platforms once projects are ready for submission.
  • Monitor permit progress and keep the construction team informed of status updates, delays, and action items.
  • Deliver required documents, forms, and fees to permitting offices in each municipality as needed.
Document Management
  • Maintain a clear, consistent, and organized file structure for original plans, redlines, final construction plans, permits, certificates of occupancy, and related project records.
  • Ensure permits, certificates, and compliance documents are updated promptly and stored in a consistent location for easy team access.
  • Support accurate recordkeeping and communication across construction, operations, vendors, and internal stakeholders.
Remodeling and Refresh Projects
  • Manage purchase orders and releases for remodeling and refresh projects.
  • Track expenditures against purchase orders to support budget consistency and accountability.
  • Create upcoming remodeling jobs and schedules within Buildertrend to house purchase orders, project schedules, and contractor notifications.
Qualifications
  • Bachelor Degree in Business Administration preferred
  • Strong attention to detail with excellent organizational and follow-through skills.
  • Experience supporting scheduling, documentation, reporting, permitting, construction administration, or operations coordination preferred.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Comfortable learning and using construction, scheduling, permitting, and documentation technology platforms such as Buildertrend and Accela.
  • Ability to manage multiple priorities, deadlines, and communication streams in a fast-paced environment.
  • Excellent listening, verbal communication, and written communication skills.
  • Positive team-oriented approach with a willingness to learn, support others, and hold work to a high standard of accuracy.
  • Must have vehicle with active driver’s license
  • Must be drug and felony free
