Position SummaryThe Club Operations Coordinator provides administrative and operational support to the General Manager/COO while assisting the leadership team with the daily execution of club operations.
This position serves as the administrative backbone of the Club by maintaining operational systems, coordinating projects, supporting club events, preparing reports, and ensuring important details don't fall through the cracks.
The successful candidate will work alongside the General Manager and every department, learning all aspects of private club management while helping deliver exceptional experiences for our members and guests.
Strategic Responsibilities- Support the General Manager with strategic initiatives and special projects.
- Assist with annual business planning and departmental goal tracking.
- Maintain operational KPI reports and dashboards.
- Track project timelines and leadership action items.
- Assist with continuous improvement initiatives.
- Research and recommend operational best practices.
- Support long-range planning initiatives.
Maintain and monitor:
- Clubhouse Bar Expo Log
- Daily Sales Log
- Server Member Experience Survey (MES) Log
- Member Experience Survey entries into Jonas
- Card Guest Fee Tracking
- Pool Guest Fee Tracking
- Beverage Order Requisition files
- Operational KPI reports
- Leadership accountability reports
- Standard Operating Procedure (SOP) manuals
- Department forms and operational documentation
- Assist with monthly operational audits.
- Assist with quarterly asset and equipment inventories.
- Support clubhouse readiness inspections.
- Coordinate follow-up items from leadership meetings.
- Support department managers with administrative projects.
- Assist with special club events.
- Maintain the Club Birthday Card program.
- Provide additional Front Desk coverage as needed.
- Welcome members and guests in a warm, professional manner.
- Answer incoming telephone calls.
- Assist members with reservations and club information.
- Coordinate member requests with appropriate departments.
- Provide administrative support to the General Manager/COO.
- Prepare correspondence, reports, presentations, and meeting materials.
- Coordinate calendars, meetings, and schedules.
- Maintain confidential files and records.
- Record meeting minutes and distribute action items.
- Maintain organized digital and physical filing systems.
- Assist with Board and committee meeting preparation.
- Track deadlines and project completion.
- Support annual budgeting and planning processes.
- Assist with member communications and announcements.
- Minimum three (3) years of administrative, hospitality, operations, or project coordination experience.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.

- Ability to manage multiple priorities simultaneously.

- High level of discretion and confidentiality.
- Positive attitude and strong work ethic.
- Experience in private clubs, hospitality, hotels, resorts, restaurants, or customer service environments.
- Bachelor's Degree or equivalent professional experience.
- Experience supporting executive leadership.
